New York Hilton Midtown is Hiring an Executive Assistant Manager Near New York, NY

Description

The Executive Assistant Manager will be responsible for assisting and supporting several Senior Leaders including the Area Managing Director, General Manager, Hotel Manager, Director of Operations and Complex Commercial Leader. The purpose of this position is to support operational activities and projects assigned. Office administrative support to the above leaders.

Essential Functions and responsibilities include:

  • To organize, plan and prioritize your duties by developing plans and goals.
  • Manage projects and activities with the Leadership Team that may involve wider operations including attending meetings, taking notes and acting upon assigned duties to coordinate the assigned project or task.
  • Maintain communication with departments involved in the assigned project/activity. Examples include guest feedback, systems, reviewing data with the appropriate Senior Leader
  • Manages all VIP requests for rooms for the Senior Leaders while working with the Front Office and appropriate teams to execute the guest experience. Ensure all relevant meet and greets are placed the relevant calendars
  • Corresponds with relevant parties including the VIP guests on behalf of the Leadership Team
  • Makes copies, sends/distributes outgoing mail. Uses email system to deliver and accept emails
  • Handles Purchase orders, Gift Certificates, and supplies for the department
  • Manager Payroll for the Commercial Floor and Executive Offices
  • Timely communication to internal and external clients via telephone, email, written documents or in person.
  • Assist with clients and deliver on the client’s expectations.
  • Demonstrate knowledge of job systems, products, booking systems, and processes.
  • Make decisions and solve problems by analyzing and evaluating the issues and determine the best solution for the client.
  • Ensure high quality service by communicating and assisting others to understand the guest needs.
  • Participate in customer site inspections and assist with the sales process as necessary.
  • Other duties as necessary based on business needs
  • Regular attendance
