Job Description
New England Cancer Specialists (NECS) is currently seeking a full time, Monday-Friday Medical Assistant for our New Patient Intake Team . Located in Scarborough the Medical Assistant with in the New Patient Intake team is responsible for all new patient referrals. Scheduling and pre-registering new patient consults, obtaining necessary records, taking medical history, collecting comprehensive med lists for new patients, answers multi-line phone, triages calls, resolves issues and answers questions, redirects callers if necessary, takes detailed messages and/or forwards calls to appropriate persons. Manages and resolves appointment conflicts proactively. Maintain confidentiality, meet deadlines, and able to problem solve. Demonstrate superior customer service skills and the ability to be an effective team player.

Responsibilities
  • Creating new patient account in appropriate systems.
  • Schedules appointments for patients either by phone and completing pre-registration questionnaire. Schedules urgent referrals with in 24-hour protocol per Intake Navigator.
  • Uses manual/computerized system to match physician/clinician availability with patient's preferences in terms of date and time.
  • Maintains thorough record collection/ chart prep in a timely manner in preparation for consult.
  • Sorts and routes incoming mail and faxes.
  • Successfully maintain a pleasant, professional demeanor under stressful conditions working with a wide range of patient personalities.
  • Uses professional judgment in disclosing information obtained from clients and operates under HIPAA guidelines.
  • Follows established departmental policies, procedures, and objectives, as well as safety, environmental, and infection control standards.
  • Other duties as assigned.
Experience and Skills
  • High school diploma or GED required.
  • Certificate of completion from an accredited program for Medical Assistant Required.
  • NHA or AAMA Certification preferred or the ability to obtain in a pre-determined and agreed upon time frame after employed.
  • Minimum one year prior clerical and/or Medical Secretary experience in a health care field, oncology experience preferred.
  • Knowledge and application of medical terminology required.
  • Previous experience with electronic medical record systems required.
  • Exceptional customer service experience required.
