Neighborhood Service Organization is Hiring an Operations Manager Near Oklahoma City, OK

Summary: The Facilities Manager is responsible for ensuring that the buildings, vehicles, and grounds of all NSO properties are maintained in excellent condition. The purpose of the position is to keep the properties in a safe, operational, and well-maintained order adhering to the highest possible standards.

The position is 40 hours per work week; however, after-hours emergency calls may be in-frequent. The Facilities Manager will provide oversight to vendors (such as janitorial, HVAC, electrical, security, etc.) and provide the administrative and management of each NSO facility. The Facilities Manager must be able to multi-task and determine which maintenance items are critical to the safety of our residents.

As a part of the NSO Team, the Facilities Manager must take ownership of the vision. It is more than “brick and mortar”; our facilities offer a unique environment where we transform lives and encourage independence through safe, healthy homes, dental care, and nutrition.

Essential Functions:

  • At all times, ensure that the properties and vehicles are kept safe, operational, and well-maintained at the highest level.
  • Dispose of, or oversee the disposal of, surplus or unclaimed property.
  • Oversee construction and renovation projects to improve efficiency and ensure facilities meet environmental, health, and security standards and comply with governmental standards.
  • Oversee the preventative maintenance and repair of each NSO property.
  • Participate in architectural and engineering planning and design, including space and installation management.
  • Plan, administer, and control contracts, equipment, and supplies budgets.
  • Acquire, distribute, and store supplies for properties.
  • Must maintain strict confidentiality and appropriate boundaries with all residents.
  • Must maintain the NSO Upkeep work order system.
  • Must be notified during and after hours of alarm calls.
  • Direct facility maintenance or repair activities.
  • This position would oversee the Driver position.

Building Maintenance and Janitorial:

  • Perform essential maintenance and repairs including, but not limited to, plumbing, electrical, painting, preventative care, cleaning, landscaping, pest control, and security.
  • Emergency response to property or tenant critical issues, including, but not limited to, building security and access, as needed, until the situation is resolved or mitigated.
  • Inspections of buildings and grounds weekly.
  • Consistently maintain vacant space(s) in “showable” condition.
  • Planning and overseeing maintenance and operational programs and schedules.
  • Maintaining a safe work environment.
  • Ensuring all state and local regulations are followed.
  • Preparing facilities for changing weather conditions.
  • Other duties may be directed from time to time. Keep in mind that, as is true for everyone at NSO, there is no “not my job.”
  • Ensure proper security measures for all properties, including collaborating with security system vendors or a team of security professionals.
  • Constructing and implementing plans to ensure the company’s network continues to operate smoothly in case of a problem.
  • Working closely with managers to assess the growth needs and maintenance of the company’s network.
  • Create a strategy for upgrading the company’s network software whenever a new update is available.
  • Installing and maintaining telephone systems upgrades.
  • Schedule regular maintenance on all vehicles.
  • Manage vehicle licensure and registration. Monitor Drivers to ensure adherence to schedule and proper driving practices

Minimum Requirements: High School Diploma or GED, 21 years of age or older, clearance of background check, clean driving record, valid Oklahoma driver’s license, auto insurance in the amounts of 100/300/100, and drug screening requirements for this role. Three years of previous experience in facilities management is preferred. Requires knowledge of administrative and clerical procedures. This includes basic to intermediate personal computer skills, such as word processing, database management, electronic mail, spreadsheet, etc. This position is considered a safety-sensitive position and, therefore, exempt from the Oklahoma Medical Marijuana Act. 

SKILLS AND ABILITIES REQUIRED

  • Requires clear, oral, and written skills.
  • Must be able to lift, push, and pull at least 50 lbs.
  • Requires ability to handle multiple projects and tasks simultaneously.
  • Requires the ability to work independently.
  • Requires knowledge of machines and tools, including their designs, uses, repair, and maintenance.
  • Requires knowledge of materials, methods, and the tools involved in constructing or repairing houses, buildings, or other structures.
  • Customer service and interpersonal skills.
  • Advanced mechanical skills and knowledge of plumbing, HVAC, and other building systems.

WORKING CONDITIONS

  • Access to well-lighted, heated, and air- conditioner indoor office settings, apartment buildings, and houses owned by NSO with adequate ventilation.
  • Occasional exposure to inclement weather is possible both indoors and outdoors. Potential exposure to building outages, (i.e.,) no utilities, heat, ice, or snow.
  • This job requires physical activity performing strenuous activities.
  • Regular work schedule is 8:00 a.m. – 5:00 p.m., including one hour for lunch, totaling a 40-hour work week. On call as needed.
