NAVAJO AGRICULTURAL PRODUCTS INDUST is Hiring a Property Clerk Near Farmington, NM

General Duties & Responsibilities

  • Coordinates, tracks, records and tags company inventory, storage facilities, infrastructure and fleet vehicles.
  • Retrieves copies of purchase documents/lease agreements and completes NAPI Asset Addition/Deletion forms to ensure proper documentation is received for capital assets.
  • Ensures that all capital assets and fleet vehicles are accounted for and recorded properly.
  • Ensures that all fleet vehicles and equipment are in compliance with New Mexico regulations as it relates to title, registration, insurance, and DOT processes.
  • Assists in conducting vehicle inspections and completing NAPI vehicle assignment sheets to designated individuals.
  • Assists with issuing and tracking 24-Hr. Vehicle Authorization forms.
  • Assists in maintaining accurate files for vehicles, lease vehicles and equipment.
  • Receives, distributes, replaces, disposes and coordinates reported repairs of equipment located at various locations across the farm and storage facilities.
  • Conducts bi-weekly patrols to check levels on scrap metal bins located on the farm for recycling and reports bins to be emptied to Property Manager.
  • Assists in the process of moving, storing, and disposing of surplus vehicles, equipment, and material.
  • Assists in tracking incidents and property damages using a database to generate monthly reports of costs incurred to repair vehicles and property by departments.
  • Assists with annual asset inventories in collaboration with the Property Manager and Fixed Asset Accountant.
  • Provides documentation to Accounting Department for capital assets.
  • Verifies and reconciles fixed assets by physically locating and identifying assets at various locations across the farm and ensuring accountability with the Accounting Department.
  • Assists in verifying monthly lease equipment invoices in collaboration with Crop Manager and providing supporting documentation to support invoice(s) for Property Manager?s signature.
  • Prepares and compiles end of month/end of year Incident/Accident Reports and John Deere lease tractor hour reports to Property Manager.
  • Assists in maintaining and updating Microsoft Access database and RTA software, with data related to NAPI fleet vehicles, tractors, storage facilities, infrastructure, and equipment.
  • Maintains and updates JD Link/Leaf software and other associated software tools to generate, compile and submit reports related to lease/rented equipment; tractor hour usage and actuary data related to insurance claims submitted to the Navajo Nation Risk Management Program.
  • Responds to incidents involving damage to NAPI fleet vehicles and property to compile report(s), take pictures, and report to Navajo Nation Risk Management for claims processing.
  • Drafts letters to Navajo Nation Risk Management to request for pertinent insurance coverage(s) or cancellations regarding vehicles, tractors, and heavy equipment.
  • Compiles and submits reports on insurance premiums on assets reported and insured through the Navajo Nation Risk Management Program and vehicle repair reimbursements received through insurance claims submitted.
  • Conducts Property Policies & Procedures orientations.
  • Conducts presentations to Crop/Department Managers/Executives related to JD lease tractor hour utilization to manage usage or other department related activities that have a direct impact on Farm Operations.

  • Complies with all applicable environmental health and safety policies, procedures and work rules, giving maximum effort to performing job functions in a manner that protects the health and safety of the incumbent, co-workers, and the general public
  • Performs other duties as assigned and which are deemed necessary or desirable by NAPI.
