Native American Connections is Hiring a Lead Maintenance Near Phoenix, AZ

Native American Connections is a non-profit housing provider. Native American Connections mission is dedicated to developing, building, and managing high quality housing communities.

Job Summary

The Lead Maintenance is responsible for overseeing the maintenance operations of an assigned portfolio. Responsibilities include routine site inspections, ensuring work orders are completed timely, and producing quality unit turns on time. This will be accomplished by providing tactical leadership to Maintenance Technicians. In addition will collaborate with the onsite property management team by helping to provide a quality living experience for the residents.

Essential Functions

This job description should not be interpreted as all inclusive. It is intended to identify the essential functions and requirements of this position. The incumbent may be requested to perform job-related responsibilities and tasks other than those stated in this job description.

  • Responsible to ensure NAC portfolio is following company maintenance procedures, adhering to maintenance standards, meeting state and local inspection requirements ADA codes.
  • Supervisory responsibilities for all assigned maintenance staff includes hiring, training, and corrective measures. Determines productivity standards of each staff member and tracks individual performance by monitoring common standards.
  • Conducts monthly property inspections of interior, exterior, and maintenance shops for each asset. Adhering to policies, repair standards, and confirming properties are ready for inspection. Work with teams to resolve deficiencies.
  • Reviews all UPCS inspections with Project Manager. All inspection findings must be resolved with thin established timelines not to exceed 30 days unless approved by the Director of Property Management.
  • Work with Director of Property Management to recommend, develop, and implement policies/procedures related to repairs, vendor selection, and bidding concerns.
  • Responsible for maintenance in the portfolio including work with maintenance teams to ensure work orders are completed 48 to 72 hours. Vacant unit turns are completed in 7-days or less. Health and safety issues are addressed in 24 hours or less.
  • Work closely with maintenance team to improve metrics. Focused on completion of work order and unit turn overs.
  • Lead on-site maintenance staff in the diagnosis of problems and repairs in the areas of HVAC, electrical, plumbing, carpentry, dry walling, exterior structure, and appliances.
  • Implement and maintain a preventative maintenance program at all communities to reduce costs and limit liabilities.
  • Use NAC’s approved vendor list. Ensure vendors meet insurance requirements.
  • Monitor expenses in portfolio. Look for ways we can consolidate services for better pricing.
  • Responsible for project management prepare specifications for major planned projects, negotiate with contractors, inspect work for quality, ensure job is completed 100%, and confirmation final project is in line with approved budget. Acts swiftly to address budget variances over approved budget.
  • Must comply with all OSHA safety regulations, federal, state, and local applicable laws regarding health, safety or environment, including NAC’s standard operating procedures and policies
  • Lead safety meetings and perform all work duties in a safe and efficient manner, in accordance with company safety policies. 
  • Responds to all requests timely.

  • Proven ability to supervise a team.
  • Creates a productive and inclusive work environment where the team is excited. Makes evident importance of each role with the team. Prioritizes team tasks appropriately.
  • The understanding and expertise of building systems is essential to support the property management team. As unique property issues arise, those teams will rely on the Lead Maintenance to provide guidance and creative problem-solving to form a solution to the problem at hand.
  • Encourages creative problem solving. Identifies strengths of each team member, actively supports individual career development, acknowledges individual and team accomplishments.
  • Ability to carry out supervisory responsibilities in accordance with the Company’s policies and applicable state and federal laws.
  • Oversees on-call schedule and is available for emergencies as needed.
  • Evaluate and give direction during maintenance emergency situations at the community level. To include afterhours response. Communicate situation and solutions to Director of Property Management and Property Manager to ensure prompt resolution.
  • Work with maintenance team to ensure department has coverage during sick and vacation requests.
  • Support job duties when positions are vacant.
  • Ensures properties adheres to NAC’s Property Performance Standards.
  • Assigned duties can change based on needs of business.

Other Responsibilities.

  • Follows up as needed on all aspects of maintenance.
  • Stay current with federal, state, and local updates about various program requirements.
  • Responsible for tracking of annual fire systems testing and fire extinguisher inspections at assigned communities.
  • Monitors asset tracking log. Follows up on non-compliance concerns.
  • Maintains current maintenance tool and supply inventory tracking plans.
  • Present a professional, efficient attitude to ensure resident satisfaction while working within company guidelines. 
  • Serve on special task force or committees for the purpose of reviewing asset maintenance programs and recommending procedural and/or operational changes.
  • Manage NAC events including logistics, setup, security, and parking.
  • Provide written responses in a professional, timely manner.
  • Responds to maintenance-related questions from site staff, and corporate personnel.
  • Collaborate with various departments on special projects, trainings, and/or implementations.
  • Meets with staff individually and in group meetings to communicate information, company news, directives, and goals are mutually understood. collaborate and receive feedback.
  • Ensures that the maintenance department and employees are working towards achieving strategic goals and objectives established by NAC.
  • Be prepared for one-on-one meetings.
  • Ensure staff members participate in company-provided training such as fair housing, safety, non-discrimination, and harassment prevention.
  • Perform other duties as assigned.

  • Ability to travel to multiple properties in portfolio to monitor work orders and unit turns. Help complete work as needed.
  • Ability to obtain fingerprint certificate within 90 days of hire.
  • Ability to independently lift/carry supplies or equipment up to 60 lbs. 
  • Requires use of personal or vehicle, or electrical cart. 
  • Ability to work indoor/outdoor environments, in all weather conditions, and potentially hazardous conditions. 
  • Ability to perform basic arithmetic skills such as measurements, addition, subtraction to do basic calculations. 
  • Ability to read/ speak/ write English language proficiently. 
  • Ability to respond to afterhours emergencies. 
  • Ability to work a flexible work schedule to include weekends, evenings, and holidays.
  • Requires use of personal vehicle with active insurance.

Minimum Qualifications Required

  • High school diploma required.
  • Bachelor’s Degree in Business, Finance, or related field highly preferred.
  • Bachelor’s degree and or 5 years of relevant experience in multifamily residential property management. Specific knowledge of affordable programs, Tax Credit.
  • 5 years maintenance experience.
  • Collaborative, values-based leader who has a proven track record of achieving results.
  • Commitment to excellent customer service; ability to demonstrate empathy and compassion in decision-making and communications.
  • Demonstrated leadership skills, supervisory experience and successful at building cohesive teams within small- to medium-sized departments.

  • Understanding of the complex social and housing needs and issues of lower-income individuals, families, and seniors.

Certifications:

  • Electrical, appliances, HVAC, plumbing, carpentry, and general maintenance preferred.
  • Certified General Contractor a plus.
  • Property Management Certification a plus.

Computer Skills:

Requires knowledge of computer systems and applications. Demonstrate proficiency in the use of the Internet and Internet searches. Prefer prior property management software knowledge. Requires intermediate knowledge of Onesite software. Microsoft Word, Microsoft Excel, and Microsoft Outlook. Requires ability to use smartphones to send email, text, and use applications. Requires intermediate typing skills. Ability to use desk computers, smartphones, telephone voicemail, fax, and copy/scanning machine. Ability to use electronic timekeeping system.

Standard office equipment such as computers, smart phones, photocopiers, filing cabinets and other presentation materials.

Physical Requirements

While performing the duties of this job, the employee is regularly required to communicate by phone, email, and in-person discussions. Will be required to use hands, fingers, feel, and reach with hands to perform job tasks. Prolonged periods sitting at a desk and working at a computer, unless an accommodation is requested for a standup desk. Regularly use headphones and earpiece. Requires normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.

Requires mobility and walking in office, obtaining copies, and filing bending and stretching frequently. In addition, position requires to be in the field and active standing or walking for long periods of time (up to 8 hours). Ability to lift below waist up to 60 pounds and above waist 35 pounds. Ability to push and pullup to 120 pounds of force. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Working conditions are normal for a fast-paced real estate management division.

Working Conditions

Normal office environment. May on occasion be exposed to loud sounds and distracting noise level, such as from office equipment. High level of social contact. Point of resolution for employee maintenance complaints.

Position requires driving to multiple properties within portfolio. Building maintenance environment, indoor/outdoor, consisting of exposure to moving mechanical parts and seasonal temperature changes ranging from freezing to extreme heat. May be exposed to high leveled places, toxic or caustic chemicals, and risk of electrical shock. While performing the duties of this job, the employee is frequently exposed to fumes, airborne particles, dust, and other possible irritants. The noise level in the work environment and job sites can be loud. Moving mechanical parts and vibration.
