Description
Regional Property Manager
Direct Supervision – Property Managers and Assistant Managers
On-Going Training and Support – Responsible for managing, coaching, and training personnel, and for ensuring all personnel have the tools to succeed
Work Product – Responsible for measurable results and work product of the region assigned
Reporting – Conduct all reporting that is needed to update and educate corporate personnel and investors
Site Inspections – Conduct site inspections as required and create formal reports for the property and corporate
Implementation – Responsible for implementing and improving operating processes and overall vision of each property
Responsibilities – Additional
· Oversee the operations of the property, ensuring that work is being done timely, within budget and meeting company objectives
· Oversee leasing activities to ensure that all goals are being met
· Responsible for all staff changes at the site level
· Responsible for being aware of all aspects relating to inventory at each property
· Perform weekly status calls with the Property Manager / Leasing staff
· Responsible for completing monthly portfolio Regional Report Card
· Oversee all property accounting to ensure managers are implementing best practice
· Meet all profitability and occupancy requirements set forth by ownership and the leadership team
· Provide leadership and coaching to all property managers and site staff
· Enforce policies and procedures throughout the Property Management Division
· Assist and support property managers with the day to day operations and provide guidance as needed
· Ensure all affordable sites are complying with all federal regulations with regards to HUD and MFHA standards and practices
· Ensure all payables are submitted and coded accurately and timely
· Act as a Property Manager during a vacancy at site level as needed
· Hire, train and support property managers, assistant managers, maintenance technicians
· Project and forecast property income expenses
· Oversee Vacancy Claims and ensure they are submitted monthly to Compliance Manager, and then to MFHA once approved
· Increase profit by driving sales, conducting specials, and implementing improvements at sites as needed
· Conduct job interviews, and hire qualified candidates based on Core Values
· Shop competition and employees quarterly to evaluate for increases
· Enter and approve ACH payments monthly
· Prepare and analyze weekly vacancy reports for ownership
· Evaluate risk management and prepare emergency response direction in the event of a crisis/emergency or insurance claim
· Provide strong people and organizational skills
· Travel to sites in MN and Iowa as needed
· Monitor Capital Improvement Projects
· Work with Maintenance Manager on seeking bids when needed for upcoming Cap Ex Projects
· Monitor and review all time off requests and verify accuracy
· Execute performance reviews for staff; including probationary period as well as annual reviews
· Ensure yearend CRP’s are executed properly and mailed out timely
· Send letters to tenants who leave owing balances
· Submit all past due balances to the rent recovery vendor for recapture of owed balances
Working with Internal and External Customers
· Provide ongoing management and resolution needs for resident conflict
· Provide guidance on issues including financials, budgeting, human resources, marketing, compliance and maintenance
· Review and execute OCAF rent increases yearly for all affordable properties
· Maintain positive working relationships with SMRLS, HUD, MFHA, and all other state agencies and contractors
· Comply with all Fair Housing Laws with regards to affordable housing
· Execute all grievance hearings when affordable housing tenants are terminated for cause
· Attend all weekly meetings with ownership to provide updates on each site
· Review, analyze, interpret, and summarize financials, occupancy and all other required reporting monthly
· Implement Marketing Strategies as needed to meet occupancy goals
· Execute and enforce policies and procedures throughout the Property Management Division
· Participate in rent grievance hearings as they arise
· Work with accounting group on Yardi issues and questions as the arise
· Provide necessary reporting and other required information for new loans and refinance opportunities and make changes as office staff expands
· Other Duties as Assigned
Inspections Oversight
· Follow all required processes and procedures to prepare for yearly MOR’s and maintain above Satisfactory ratings
· Monitor and prepare for REAC inspections to ensure scores of 90% or higher are achieved
· Schedule and prepare for all fire inspections for site as needed with Maintenance Manager
· Inspect and provide oversight for any property damage or insurance claims that occur on site
