Job Description

I. Summary

Reports to: Vice President of Human Resources

Employment Status: Full-Time, Exempt

II. Primary Duties and Responsibilities

  1. Serve as point person for all HR needs for specified managers as assigned by VP of HR
  2. Manage benefit administration by communicating insurance options and plan details to employees, submitting all enrollment forms for new employees and during annual open enrollment, submitting any plan changes and/or terminations, submitting COBRA continuation forms for terminations, ensuring the Payroll and AP Manager has the correct payroll deductions for participants and handles any employee benefit issues/concerns (medical, dental, life insurance, vacation/sick/personal time, Flex Spending, YMCA)
  3. Coordinate FMLA and LTD leave by completing and submitting all necessary paperwork
  4. Conduct all part-time and full-time new hire orientations and process and submit all new hire paperwork
  5. Facilitate on-boarding process for new full-time employees by providing an overview of the organizational structure and culture by ensuring their managers have completed a detailed schedule of meetings and/or training
  6. Facilitate Work-Life Balance Program by recruiting members, planning meetings, delegating tasks and overseeing all program activities
  7. Facilitate Wellness Program by establishing and communicating program requirements, tracking participation and fulfillment of program requirements and ensuring program incentives are accurately distributed to participants
  8. Assist VP of HR and Inclusion in the strategic planning process for each upcoming season by developing department goals, objectives, and processes
  9. Responsible for many aspects of the annual review process, including job description updates, salary survey fulfillment, goal setting for staff and manager completion of each season’s review for each employee
  10. Assist VP of HR in all other aspects of annual review process, including managerial effectiveness survey review, employee annual review oversight, setting of pay grades and salary ranges and setting salary increases based on performance
  11. Recruits, interviews, and facilitates the hiring of qualified job applicants for open positions; collaborates with departmental leaders to understand skills and competencies required for openings.
  12. Oversee Internship Program by posting availabilities, attending university career fairs, conducting intern orientations, and ensuring interns receive a beneficial learning experience
  13. Establish positive relationships with employees, benefit brokers and providers
  14. Assist the VP of HR in the resolution of sensitive employee relations matters
  15. Coordinate termination process by ensuring all necessary forms are provided to exiting employees, all organizational property is returned, all benefits are terminated and all remaining time, vacation and/or severance is submitted to the Payroll and AP Manager
  16. Create and facilitate in-house training and development opportunities for staff
  17. Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments. This may include safety training, anti-harassment training, professional licensure, and certifications.
  18. Complete and file the EEO-1 report annually in the absence of the VP of HR and Inclusion.
  19. Complete and submit all employment verification request forms.
  20. Plan small HR special events and assist the VP of Human Resources with major HR events such as the annual retreat.
  21. Responsible for upkeep and dissemination of policy manuals and HR forms.
  22. Responsible for timely filing of all information that must be placed in an employee’s personnel file(s).
  23. Conducts or acquires background checks and employee eligibility verifications.
  24. Performs routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development.
  25. Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
  26. Attends and participates in employee disciplinary meetings, terminations, and investigations in the absence of the VP of HR and Inclusion.
  27. Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
  28. Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  29. Performs other duties as assigned.
  30. All other duties when deemed necessary

Supervisory Responsibilities

Supervises Office Assistant and HR interns. The Human Resources Generalist carries out supervisory responsibilities in accordance with the organization's policies and applicable laws and his/her responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

The duties listed above are not all inclusive. The person in this position is expected to perform other work-related duties as assigned even though they may not be considered primary duties.

Qualifications

IV. Work Requirements and Qualifications

1. Education

Bachelor’s Degree in Human Resources, Business Administration, or related field required. Master’s Degree preferred, but not required.

2. Experience

Minimum of two years of Human Resource experience or equivalent combination of experience and education preferred.

3. Knowledge, Skills and Abilities

  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with or the ability to quickly learn the organizations HRIS and talent management systems.
  • Multi-tasking skills without panic are essential 

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organizations facilities.
