NAMI San Diego is Hiring an Office Coordinator Near San Diego, CA

Company Description: NAMI San Diego/Imperial Counties (National Alliance on Mental Illness) is a nonprofit organization that provides free education, support services, and advocacy to improve the quality of life of everyone affected by mental illnesses.

Primary Responsibilities/Function: NAMI San Diego is looking for a dynamic office coordinator for our small administrative office located in Clairemont Mesa area. Utilize your excellent communication, computer and writing skills. Support all functions of the organizations business operations. Pleasant work environment. Welcome visitors at the front desk or on the telephone/email; answer questions and direct inquiries. Produce information by formatting, inputting, recording, editing, retrieving, copying, filing and transmitting text, data, and graphics including packaging of time sensitive materials. Enhance the organization's effectiveness by providing day-to-day support for the NAMI SD business office at the front desk.

Duties and Responsibilities:

  • Greets clients, visitors, and guests; determines the purpose of each persons visit and directs or escorts him or her to the appropriate location.
  • Answer, screen and direct all telephone calls incoming calls. Maintain company directory.
  • Maintain office as tidy and presentable.
  • Maintain and properly store all necessary office supplies. Keep inventory on hand. Maintain office security systems and practices.
  • May produce information by formatting, inputting, editing, retrieving, copying and transmitting text, data, and graphics including packaging of time sensitive materials.
  • Manage information in specific databases including participation in efforts to maintain NAMI San Diego website updates.
  • Receive, sort, distribute/scan all mail and deliveries, daily.
  • Maintain accounting system of receiving and processing of payments delivered to the organization, daily.
  • Process appropriate forms and invoices for accounts payable providing appropriate allocation of costs, daily.
  • Ensure operation of all equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs. Maintain equipment inventories and purchase of new equipment, when requested.
  • Act as primary contact with office building property owner and maintenance contactors at main office. Maintain conference rooms scheduling calendar.
  • Serve as support for company human resources department, social media campaigns, special events and fundraising activities.
  • Maintain professional and technical knowledge by attending educational workshops and webinars; reviewing professional publications and participating in professional societies.
  • Demonstrate understanding of confidentiality and practice ethical behavior at all times.
  • Contribute to team effort by accomplishing related results as assigned.
  • Other duties as assigned.

Accountability: Reports to Chief Operating Officer.

  • Prolonged periods sitting at a desk and working on a computer.
  • Prolonged periods of standing and walking.
  • Must be able to lift up to 15 pounds at times.

Minimum Requirements, including linguistic and cultural skills, education, experiences, licenses and certifications:

  • 1-3 years of experience in an office setting as administrative assistant.
  • Must have reliable transportation.
  • Attention to detail is essential.
  • Ability to multi-task and set priorities.
  • Lived experience with mental illness for self or as family member, preferred.
  • Bi-lingual, Spanish a plus.
  • Must be able to pass a criminal background check.
  • Must have a satisfactory driving record.
  • Able to communicate effectively, verbally and in writing.
  • Basic knowledge of computer software (Microsoft Office, Word, Excel), databases, and web navigation. Experience using WordPress a plus.
  • Demonstrated ability to maintain confidentiality.
  • Reliable and consistent attendance.
