The Administrative Assistant will be responsible for the day-to-day administrative functions such as answering and screening calls, calendar management, travel arrangements, ordering office supplies and other general administrative duties. The role will provide administrative assistance to managers, field and support staff and visitors as well as manage the day to day office responsibilities to ensure efficient operation of the office. This position will be responsible for confidential and time sensitive material. Key functions you will perform! Answer and direct phone calls to the right area or staff member. Greet and direct visitors, guests and employees. Reviews and submits expense reports for Transportation Specialists (TS). Gathers, reviews and submits hotel folios. Codes receipts on a weekly basis. Reconciles and submits monthly credit card expenses. Monitors status of employee contract-required credentials and sends out monthly renewal notices; Verifies driver’s license, CPR/First Aid, Influenza, and TB testing on each employee. Reviews toll road invoices and pays for charges incurred by company vehicles. Assists in reviewing TS timesheets after hours have been entered into the system. Receives, sorts and distributes mail and packages. Prepares monthly surveillance reports with findings. Submits invoices to corporate requesting payment for vendors. Reviews personnel status report and updates personnel’s availability in Mercury System. Sets up appointments for DHS personal identity verification card issuance. Issues ID cards for UAC and visitor badges. Manages office supplies and reorders, as necessary. Ensures the reception area, meeting rooms and common areas are neat and clean. Performs other duties as needed. What you will need to have: Possess an Associate degree in an appropriate discipline from an accredited university (a high school diploma with an extra two or more years of relevant experience may be substituted for an associate degree) and, Have at least two years of experience working with computers (a minimum of four years of experience is required when a high school diploma with two or more years of relevant experience is substituted for an associate degree) Intermediate computer skills including Microsoft Office Suite (Word and Excel). Possess a valid and current driver’s license. Inventory or surveillance software experience preferred. Clearance: Applicants selected will be subject to a Government background investigation and may need to meet eligibility requirements for access to classified information. Security Requirements: U.S. Citizenship Ability to obtain/maintain a Security Clearance Favorable credit check Preferred Qualifications: Active clearance is preferred Ability to deliver the highest quality of work under extreme pressure Strong organizational and communication skills Analytical and problem-solving skills These requirements are thoroughly reviewed during the employment screening process.
