Job Duties

• Act as office coordinator for our Irvine location.
• Provides more complex administrative support and project coordination for the department head, managers, and or team members.
• Coordinates with accounting on all invoices, reconciliation, etc.
• Will oversee organizing and checking data matches appropriate fields within our CRM and telephony platform.
• Will oversee updating state licensing for loan officers and ensuring all data is entered correctly; organized efficiently and placed within all respective platforms and systems.
• Developing standard operating procedures, data collection systems, and workflows.
• Occasional data entry and special projects assigned by Marketing managers.
• Creating training manuals for end users and other staff at Mutual of Omaha Mortgage.

Job Requirements

• Bachelor’s degree or equivalent experience.
• 3 years as an Administrative Assistant.
• Proven experience in a customer service role in a fast-paced environment.
• Proficiency in Microsoft Office, Excel, and Salesforce is a plus.
• Ability to handle confidential and sensitive information.
• Strong communication skills.
• Ability to work on various projects at once.
• Excellent verbal and written communication skills.
• Knowledge of business administration.
• Hourly Rate of $20 - $26.
• Monday through Friday 8 – 5pm in Irvine office.
