MRC is Hiring an Office Manager Near Los Angeles, CA

Job Duties and Responsibilities:

  • Work closely with the building landlord to ensure the building is fully operational. Place work orders when needed.
  • Ensure emergency procedures are updated and followed properly.
  • Daily walkthroughs/ inspections of the suite/ office to ensure its cleanliness and manicured appearance.
  • Order office supplies, shredding, e-waste, battery disposals.
  • Order kitchen amenities (snacks, coffee, beverages, breakfast)
  • Process facility invoices through Concur
  • Sort and deliver mail and packages.
  • Schedule and supervise routine maintenance and building repairs such as but not limited to:
    • HVAC
    • plumbing
    • electrical
    • Building equipment
  • Check vendors work to ensure installation and service was done correctly.
  • Recommend maintenance, mechanical, electrical, and facility modifications as needed.
  • Provide oversight to facilities office assistants and porters to ensure they are performing their work correctly and efficiently.
  • Source material, equipment and or service vendors for special projects.
  • Request keycards and parking for new hires and deactivate cards when requested
  • Understand COVID 19 protocols and safety procedures.
  • Back up contact support for building emergencies, i.e. power outages, equipment failures, weather related issues, etc.
  • Cover Reception for breaks, including lunch
  • Other duties as required.

Experience and Skills Required

  • 5 years managing an office
  • Experience in dealing with engineers and architects on potential buildouts/construction
  • Experience managing office moves
  • Must be customer service oriented
  • Excellent follow up, clear, concise communication and writing skills.
  • Attention to details and good judgment.
  • Software – Microsoft Word, Excel, Google Sheets
  • Ability to work proactively, independently, and collaboratively under tight timeframes in a fast-paced environment.
  • A strong sense of urgency and the ability to juggle multiple, competing priorities.
  • Ability to pivot quickly and fluidly, think practically and be solution oriented.
  • Positive, professional attitude and exceptional communication skills and inclusive style.
  • Organized with ability to prioritize, meet deadlines, and multi-task.
  • Motivated, resourceful, creative thinker, and problem solver.
  • Proactive work ethic with the entrepreneurial drive to anticipate and fulfill needs.
  • Ability to communicate with all levels, including managing up.
