Description
Position Summary:
In accordance with established company policies and procedures, provides administrative support and coordination including implementation, ongoing management, and auditing of all resident medical records; coordinates resident medical appointments, necessary paper work; completes scheduling of all wellness staff, maintains staff assignment sheets, shower, and laundry schedules. Responsible for ensuring continuity of direct care to residents, as well as the smooth functioning of the wellness dept.
Essential Responsibilities:
• Administers medications as ordered by a physician under the supervision of a licensed nurse, in accordance with any state and federal regulations and consistent with community policy.
• Required to cover an assignment as a Certified Medication Technician (CMT) when there is a call out/no-show and/or when the need arises.
• May be required to cover an assignment as a Certified Nursing Assistant (CNA)/Resident Assistant (RA) when there is a call out or no-show and/or when the need arises.
• Must maintain accurate records to include preparation of all medical charts for new admissions and readmissions and ensures medical record is complete within forty--eight (48) hours as per Policy and Procedure (P&P) and regulatory guidelines.
• Must perform all duties in adherence of established policies and procedures.
• Prepares accurate and timely staffing schedules and assignment sheets for Direct Care staff, CMTs/CMAs, and licensed nursing staff.
• Submits completed schedules to Director of Health and Wellness (DHW) or designee for approval and ensures approved schedules are submitted to Business Office Manager.
• Maintains staffing levels to reduce overtime by taking all calls for call--outs and ensuring assignment is covered appropriately.
• Prepares and maintains accurate shower and laundry schedules for all residents, ensures residents shower and laundry schedules are maintained by care staff
• Provides efficient clerical and administrative support to the Health and Wellness to include answering calls, taking accurate messages, and filing of paperwork
• Maintains accurate information for residents’ medical records to include recent photograph, emergency contact information, insurance information, Living Will, Do Not Resituate (DNR) form, Medication Administration Record (MAR), Treatment Administration Record (TAR), and Physician’s Order Statement (POS)
• Efficiently maintains list of forty-five (45) day wellness visit schedules and notifies DHW or designee of due dates and ED of overdue assessments
• Assists with monthly turn over preparation of POS/MAR/TARS and faxes records for physician signatures as needed and or directed by DHW or designee
• Schedules and coordinates all medical appointments, wellness visits and professional visits to community. Notifies driver, family and staff of visits and appointments.
• Maintains and completes all required wellness binders and forms for appointments, laboratory, and physician visits.
• Maintains laboratory log, completes lab request slip with physician information and ensures labs go directly to physician, notifies DHW or designee of any labs not drawn
Qualifications/Skills/Educational Requirements:
• Must hold a valid Maryland CMT license with the Assisted Living designation on their license or a valid Virginia CMA license in good standing.
• Experience in staff scheduling preferred.
