Morgan Properties is Hiring a HR Administrative Assistant Near King of Prussia, PA

Overview

What you will be doing:

Reporting to the Vice President of Human Resources, the Administrative Assistant assists with the day-to-day operations of the human resources department and provides support in a variety of administrative and project roles. This individual will be a customer focused, detailed, pro-active and self-motivated team player. This position will be 100% on-site in our corporate King of Prussia office.

What we’ll expect from you:

Administrative

  • Maintains all records of employee information such as personal data, compensation, benefits, tax data, attendance, performance evaluations, and termination information in Personnel Files, HRIS and SharePoint.
  • Schedules, coordinates, and arranges HR team meetings, appointments and document meeting notes and action items.
  • Manage, track and maintain HR team birthdays and service anniversaries and make appropriate plans (Card, flowers, gathering etc.) for employee event.
  • Provide administrative support to VP of HR, including expense reporting in Concur and processing invoices for HR department.
  • Responsible for maintaining and updating corporate organizational charts and employee directory on a consistent and regular basis.
  • Serve as backup to the Corporate Receptionist.

Project Management

  • Organize all HR department records, employment files and maintains operation of office equipment including making photocopies, faxes documents, scans information into the system, and performs other clerical functions as needed.
  • Assist VP of HR with various research projects and/or special projects

HR Assistance

  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Assists with processing of new hires, terminations and status changes.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Process and maintain all status reports including pay changes, new hires, terminations.
  • Assists in the termination and exit interview process of corporate employees.
  • Provide back-up HR support in HR data entry into HRIS.
  • Maintains and orders all HR and benefits related forms.

What We Need From You:

  • Associate's degree preferred or equivalent experience.
  • One (1)-two (2) years HR Coordinator/Assistant type work and or three (3)-five (5) years administrative assistant work.
  • Ability to prioritize multiple projects and work under pressure while meeting strict deadlines.
  • Detail-oriented and ability to work well in a team environment.
  • Discretion in dealing with confidential and sensitive information. Ability to handle confidential information with the highest level of integrity and ethics.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Working understanding of human resource principles, practices and procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Ability to take initiative, be flexible, be self-directed, be motivated, and interact with employees at all levels.
  • Ability to communicate clearly and effectively, in speech and writing, with customers, staff, managers, supervisors, contractors and clients.
  • Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience working with HRIS systems a plus.
