Monex USA (formerly Tempus, Inc) is Hiring an Administrative Assistant Near New York, NY

Job Title: Administrative Assistant

Location: New York, New York; In-person

Status: Part-time; Hourly, Temporary

Reports to: Managing Director

Direct Reports: N/A

Typical Work Hours: 8:00 a.m. to 12:00 p.m. 3-4 days a week

Since 1999, Monex USA has provided corporate clients with the best foreign exchange (FX) and international payment solutions in the industry. Monex USA guides thousands of clients, from a broad spectrum of industry sectors, through the intricacies of the currency markets. Our unique market insight is widely recognized in main-line business media such as The Wall Street Journal, Reuters, Bloomberg, and CNBC. 

Monex USA is looking for an Administrative Assistant for our New York office. This position will perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining supplies.

Responsibilities

  • Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
  • Open, read, route, and distribute incoming mail or other materials and answer routine letters.
  • Learn to operate new office technologies as they are developed and implemented.
  • Maintain scheduling and event calendars.
  • Order and dispense supplies.
  • Conduct searches to find needed information, using such sources as the Internet.
  • Train and assist staff with computer usage.
  • Prepare conference or event materials, such as flyers or invitations.
  • Use computers for various applications, such as database management or word processing.
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports.
  • Assist with office layout planning and office moves

Required Qualifications

  • 2-5 years of work experience in an administrative/office management role
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to prioritize
  • Must be a self-starter and driven
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Must be proficient with Microsoft Office and Excel

Preferred Qualifications

  • Bachelor's degree in business administration, communications, or a related field

Compensation

$25 per hour.

Hiring Process

The application consists of a resume and references. There will be 2-3 rounds of interviews: 1-2 virtual rounds and 1 in-person round. Applications will be considered on a rolling basis. Offers are contingent on proof of COVID-19 vaccination and passing a background check.
