The Clinic Assistant performs duties related to the preparation, submission, and follow-up of computerized and manual data related to services provided to patients and third-party billing records. S/he is responsible to assist with client registration and with reception duties during the evening clinic.

Schedule is 8:00am-5:00pm on Mondays and Fridays and 11:00am-8:00pm on Tuesdays, Wednesdays, and Thursdays.

Essential Functions & Responsibilities

The Clinic Assistant has the following responsibilities and duties:

Front Desk (80%)

• Greet all patients with a friendly smile and a friendly voice.
• Process Medical Sliding Fee Scale applications per the Sliding Fee policy and protocols.
• Collect and track co-payment, Sliding Fee Discount fee, or nominal fee.
• Follows all procedures in the Sliding Fee Policy and properly document all required steps.
• Record payment in EHR system and provide patient with a receipt.
• Place day’s money in the appropriate designated place according to money deposit protocol.
• Verify demographic and insurance information in the EHR system with each patient encounter.
• Ensure that all scheduled and non-scheduled patients are checked for eligibility and all information is entered accurately and thoroughly (including most current insurance card is scanned into the EHR.)
• Monitors patient flow from front desk to back office.
• Provide backup support to Adult medicine when requested by answering incoming calls.
• Records no-shows and cancellations in EHR system.
• Makes reminder calls for clients with upcoming provider appointments and calls no-show patients to reschedule their appointments.
• Routes patient messages to appropriate clinical staff.
• Schedule patients’ appointments and follow-ups with appropriate clinician according to scheduling practices.

Registration (20%)

• Assists with patient MNHC yearly and Ryan White 6-month registrations.
• Ensure registration and other forms are completed and signed by every patient.
• Ensure registration forms are properly filed in EHR.
• Ensure patients are checked for eligibility and all information is entered accurately and thoroughly
• Explain patient acknowledgment form and fee scale. 
• Punctuality, regular and reliable attendance.
• Performs other duties as directed, developed, or assigned by the HIV Clinical Operational/Integration Manager, Social Services Coordinator, Prevention and Wellness Manager and/or the HIV Services Director

Requirements

The Clinic Assistant should have the following skills, education and experience:

• BA degree preferred; AA and a combination of relevant experience may be considered
• Minimum 1 year experience in Data Entry and/or Computer Operator 
• Reception experience
• Excellent computer skills required, including experience with Microsoft Office suite of applications (e.g. Word, Excel, PowerPoint, etc.).
• MUST BE bilingual in English and Spanish.
