Mission Neighborhood Health Center is Hiring an Accounting Associate I Near San Francisco, CA

The Accounting Associate I is primary responsible for ensuring the accurate and timely filling of records to keep the company books up to date. They are responsible for tracking incoming and outgoing money from the company’s accounts. Their duties involve clerical tasks such as data input and reporting along with administrative duties such as filling, organizing paper, and electronic records.

Essential Functions & Responsibilities

The Accounting Associate I has the following responsibilities and duties:

  • Entering financial data into spreadsheets or accountancy software.
  • Keep financial records organized and easy to access.
  • Locating or tracking invoices, receipts, purchase orders and other financial records.
  • Ensuring that the records abide by financial regulations.
  • Providing financial data or reporting to management for audit purpose.
  • Checking for financial irregularities, data entry errors and potential fraud.
  • ***Perform AP Clerical Duties as the following***
  • Keep up to date records of purchase orders; track and facilitate payment processing.
  • Verify expense reports
  • Verify documentation for record entry of and distribute petty cash.
  • Issues purchase order amendments and stop-payment orders.
  • Review and reconcile invoice discrepancies.
  • Obtain and reconcile monthly vendor statements and credit card bills.
  • Address and respond to vendor inquiries.
  • Support the AP accountant in maintaining AP files including unpaid invoices and vendor files.
  • Support new vendor set up with applicable data gathering for accounting software.
  • Manage cash transactions daily (payment received from cashiers and receipts.)
  • Collate accounts of staff, travel advances and other expenses relating to training and travel.
  • Prepare and process deposits to the bank.
  • Research cash receipts, coding and posting of receipts.
  • Assist Accounting Manager and Payroll Staff to appraise all employee expense, information on salary and organizational time sheets.
  • Evaluate and update information and carry out validation of data for accuracy in the systems.
  • Ensure all new equipment are tagged and entered in the accounting systems.
  • Enter all Paymode transactions.
  • Match invoices to purchase orders.
  • File, maintain, and organize financial records.
  • Maintain the pharmacy keys every day.
  • Reconcile bank statements.
  • Efficient in solving problems and working with diverse variables.
  • Maintain the purchasing policy and ensure the all purchases adheres to it.
  • Choosing the supplier that the company will deal with and maintaining the legal interaction with them.
  • Collate purchase orders and PR in order to order materials, goods and supplies.
  • Track the status of any orders and review the deliveries against the orders.
  • Reconcile invoices and purchase orders.
  • Overseeing any large procurement that may happen.
  • Assist on other duties per Accounting Manager request.

Qualifications

The Accounting Associate I should have the following skills, education, and experience:

  • Associate degree or higher from an accredited college or university in Accounting, Finance, Business or a related field, and/or any combination of education, training and experience.
  • At least two (2) years of general accounting experience preferably in a non-profit setting.
  • Ability to perform basic and higher mathematical calculations.
  • Ability to work as a team player and promote cooperative work atmosphere.
  • Ability to multi-task, prioritize appropriately.
  • Strong data entry and Excel spreadsheet skills.
  • Strong ability in communicating with diverse groups of people both verbally and in writing.
  • Proficiency in Microsoft Office, particularly Excel and PowerPoint, and other relevant technologies.
  • Proficiency in both fund and procurement accounting software, preferably MIP, Sage 100.
  • Ability to maintain confidential and sensitive information.
  • Comply with HIPAA and HITECH regulations.
