Mission Neighborhood Centers is Hiring a Grants Management Specialist Near San Francisco, CA

For over 125 years, MNC has provided services essential to improving the lives of San Francisco’s communities. Today, we have 14 campuses enhancing the lives of low-income seniors, youth, and families.

Currently, we are seeking a full-time Grants Management Specialist who will primarily be responsible for assisting grant management for Head Start/Early Head Start, California Department of Education, Department of Early Care, Haas Model Centers, MEDA, and other contracts as needed; Provides support and coordination in the interpretation and application of contract requirements and regulations. Comprehends and adapts to a variety of situations. Participates in budget and program planning meetings. Responsibilities involve exposure to sensitive information and require considerable use of tact, diplomacy, discretion, and judgment.

Essential Functions 

Grants/Contracts Management

  • Project management and responsibility for ensuring submittal of all new and renewal applications for Head Start/Early Head Start, DEC, CDE, Haas, MEDA, and other grants/contracts.
  • Assist in contracts/grants management to ensure implementation and compliance within the established parameters and regulations of the funder by coordinating with service area managers and Accounting
  • Create and maintain a calendar for reporting, compliance, and other deadlines. Communicate and coordinate tasks for upcoming deadlines with agency staff as
  • Responsible for administrative processes and systems, electronic and non-electronic, associated with grants management, including developing, maintaining a master filing system for contracts/grants, and program Identify and prepare action items for Parent Policy Council and Board of Director’s approval.
  • Prepare and submit required documents for contract/funder compliance and Write program reports and renewal applications for city and foundation grants.

Budget Support/Management

  • Support budget development (including collecting data for budget and writing budget narratives and justifications). Develop the budget excel spreadsheet for grant applications. Prepare the Children’s Services annual budget and other spreadsheets to support the CFO and analysis for special projects
  • Provide Children’s Services budgeting management to include modification, spend-down monitoring, allocation updates, and spending adjustments. Coordinate and inform managers of spending based on approved budget. Collaborate with accounting department to prepare monthly forecast. Prepare budget modifications for all contracts.
  • Monitor budget expenditures, ensuring that authorized expenses are correctly allocated to the proper budget.
  • Prepare the cost allocation plan based on enrollment slots; maintain Slot Distribution grid based on contract obligations.
  • Reviews and forwards to accounting all purchase orders with appropriate documentation including invoices, and/or other pertinent receipts from management team.
  • Lead the implementation of the electronic procurement system, prepare training materials, and provide training to CS, Administration and other MNC staff, coordinate with vendors to build vendor punch-out system.

Qualifications

  • Bachelor‘s Degree in Business Administration or other related field, and/or equivalent experience.
  • 2 years’ experience and/or training in non-profit grants management. Experience in budget development and grants/contracts reporting, monitoring and compliance in a non-profit organization, preferred.
  • Must be proficient with Microsoft Suit
  • Experience with database and budgeting/forecasting systems is desirable.
  • Outstanding interpersonal and communication skills, characterized by the ability to listen, to speak, and to write well.
  • Strong commitment to customer service and the ability to inspire and engage.
  • Must be detail-oriented, highly organized 
  • Team player able to work collaboratively with development colleagues as well as interface effectively with other departments.
  • Ability to maintain the highest level of confidentiality when dealing with client information.

Requirements 

  • Fingerprinting Clearance (DOJ/FBI) and Clearance of Child Abuse Index
  • Current Physical Health Screening (every 2 years thereafter)
  • Current Immunizations (TB, Influenza, MMR, Pertussis) (every 2 years thereafter)
  • Current and completed Covid-19 vaccine. Provide proof of record
  • Current CPR & First Aid Certificate (every 2 years thereafter)
  • Must attend trainings that are required by funders (might be an evening or Saturday)
  • Bilingual English/Spanish prefer.
