Overview

Title: Bilingual Human Resources Coordinator

Class: Full-time, Salaried, Exempt

Reports to: Human Resources Manager - Arena

Location: Arena

Summary:

The Human Resources Coordinator will own processes within the Arena HR team including, but not limited to, onboarding and entering new hires, managing candidates’ pre-employment results, processing terminations, employment verifications and the employee referral program. This role will partner with the Human Resources Manager- Arena to represent our organization at local job fairs and recruit for open roles. This role will be a point of contact for employees and will source and recruit for open positions within the Arena.

Responsibilities

  • Be the first point of contact for all employee questions.
  • Create and maintain employee records.
  • Schedule and communicate new hire orientation details to new employees.
  • Enter workers compensation claims into insurance system and create claim folder.
  • Advise employee and management personnel on the interpretation of personnel policies, programs, and procedures. Ensure that programs are carried out in accordance with the organization’s policies and procedures.
  • May develop and propose improvement to policies, programs, and procedures to improve the effectiveness of human resources and operations.
  • Enter New Hires into the HRIS system weekly including new hire information, payroll changes and employee personal information
  • Work with hiring managers and supervisors to identify personnel needs, job specifications, job duties and job qualifications
  • Write and posts job advertising on a variety of media outlets
  • Source and attracts candidates using databases, social media and referral networks
  • Review and identify people to refer to hiring managers and supervisors
  • Screen candidates for referrals.
  • Manage and coordinate candidate interviews.
  • Prepare and deliver job offers.
  • Conduct and manages background screens, including annual criminal screens for all seasonal employees prior to the start of the season and annual motor vehicle reports for any employee covered by the organization’s auto liability policy.
  • Coordinate communication with applicants.
  • Manage the onboarding process including scheduling and conducting weekly new hire orientation.
  • Create and maintains personnel files.
  • Own the employee referral bonus program and works with Payroll to distribute bonuses to those eligible.
  • Run reports for multiple departments.
  • Respond to unemployment inquiries
  • Completes employment verifications.
  • Oversee the Human Resources email inbox and responds to inquiries.
  • Assist hiring managers and supervisors with creating and updating job descriptions.
  • Provide advice and coaching to hiring managers and supervisors throughout the hiring process.
  • Sustain a qualified candidate pipeline of available resources.
  • Maintain HR Metrics for staffing and turnover.
  • Set-up and attends job fairs.
  • Work with external recruiters and employment agencies when needed.
  • Provide other human resources and administrative services as needed.
  • Maintain compliance with federal and state employment laws and regulations.

Qualifications

  • Bachelor’s degree in Human Resources or equivalent.
  • 1 - 3 experience in Recruiting or Human Resources field.
  • Bilingual in Spanish.
  • Can work with minimal direction and make appropriate decisions, performs multiple tasks simultaneously, and process work with accuracy.
  • Knowledge of office administrative procedures and ability to use standard office equipment at a level generally acquired through related experience. Must be proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Access.
  • Be capable of mastering ADP software and reports.
  • Have a high level of interpersonal skills and able to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
  • Analytical ability is required to gather and summarize data for reports, find solutions to various administrative issues, and prioritize work. Work requires continued attention to detail in composing, typing, and proofing materials, data entry, establishing priorities, and meeting deadlines.
