MILLENNIUM HOTELS AND RESORTS is Hiring a Night Audit Near Minneapolis, MN

Position Purpose:

Greets and registers guests, provides prompt and courteous service, and closes out guest accounts upon completion of stay to meet Millennium's high standards of quality. Completes the Night Audit Process.

EXAMPLES OF DUTIES:

Essential Functions:

Greet guests immediately with a friendly and sincere welcome. Use a positive and clear speaking voice, listen to understand requests, respond with appropriate action and provide accurate information such as outlet hours and hotel services

Complete a registration process by inputting and retrieving information with routine difficulty from a computer system and registration cards, confirming pertinent information including number of guests and room type. Promote Millennium Marketing Programs. Make appropriate selection of rooms based on guest needs. Code electric keys. Non-verbally confirm the room number and rate. Provide welcome folders containing room keys and explain automated mini bar, non-smoking policy and where to obtain ice etc... .

Verify and swipe credit cards for authorization using electronic acceptance methods. Handle cash, make change and balance an assigned house bank. Accept and record vouchers, traveler's checks and other forms of payment. Convert foreign currency at current posted rates. Perform accurate, moderately complex arithmetic functions using a calculator. Post charges to guest rooms and house accounts using the Property Management System.

Promptly answer the telephone using positive and clear English communication. Input messages into the computer. Retrieve messages and communicate content to the guest. Retrieve and send mail, small packages and facsimiles for guests as requested.

Maintain certain amounts of cash drawer and effectively cash out with no errors.

Close guests’ accounts at time of check out and ascertain satisfaction. In the event of dissatisfaction, negotiate compromise, which may include authorizing revenue allowances.

Remain calm and alert especially during emergency situations, and times of heavy hotel activity. Resolve complications, such as room changes or credit issues.

Field guest complaints, conducting thorough research to develop the most effective solutions and negotiate results. Listen and extend assistance in order to resolve problems such as price conflicts, insufficient climate control, noise, etc. Plan and implement detailed steps using good sound judgment and discretion. Alert Overnight Manager and Front Office Manager if needed and follow up to ensure guest satisfaction.

Perform all tasks necessary to complete the night audit process.

Review reports on arriving guests to ensure that all requests are met. Review and update reservations of in house guests with special billing requirements as encountered in the night audit to ensure accurate billing.

Prepare departing guests’ bills for distribution. Prepare reports for General Manager, Food & Beverage Outlets, Bell Desk Staff and Accounting Department.

OTHER:

Keeps immediate supervisor promptly and fully informed of all problems or unusual matters of significance coming to his/ her attention so corrective action can be taken when appropriate.

SUPPORTIVE FUNCTIONS:

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the hotel.

Provide assistance to Security and Bell staff with guest issues including responding personally to guest calls and room service requests.

Use the photocopier to make copies of items as required.

Other duties as assigned by the Guests Service Manager such as assisting Guest Service Coordinator or performing certain responsibilities as Reservations Agent.

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job.

Ability to effectively deal with customers, some of whom may require high levels of patience, tact and diplomacy to defuse anger to collect accurate information.

Ability to establish and maintain effective working relationships with employees, customers and patrons.

Hearing and visual ability and detect signs of emergency situations.

Prior service communications, reservations, hospitality and/or computer experience is preferred.

SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY

The individual must possess the following job knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

Considerable skill in the use of a calculator to prepare moderately complex mathematical calculations without error.

Ability to effectively deal with internal and external customers some of whom will require high levels of patience, tact and diplomacy to defuse anger, collect accurate information and resolve conflicts.

Ability to stand and move throughout front office and continuously perform essential job functions during an eight hour shift.

Ability to read, listen and communicate effectively in English both verbally and in writing.

Ability to access and accurately input information using a moderately complex computer system.

Hearing and visual ability to observe and detect signs of emergency situations.

QUALIFICATION STANDARDS

Working Environment / Physical Activities:

Inside with protection from weather but not necessarily changes in temperature.

Confined work area with considerable traffic frequent interruptions and noise from telephones, voices, and office machines.

Periods of standing exceeding 90% of work shift are required.

Physical activities include standing, talking hearing, seeing, sitting, carrying, pushing, pulling, stooping, kneeling, reaching, handling and bending.

Considerable repetitive motion of hands and wrists as related to use of computer keyboards is possible.

Regular attendance in conformance with the standards, which may be established by Millennium from time to time, is essential to the successful performance of this position.

Education:

Any combination of education and experience equivalent to graduation from high school or any other combination of education, training or experience that provides the required knowledge skills and abilities. College Degree preferred.
