Mercedes-Benz R&D North America is Hiring an Executive Administrative Assistant (Contract) Near Long Beach, CA

Embedded in a worldwide network Mercedes-Benz Research & Development North America continuously strives to remain at the forefront of successful automotive research and development. MBRDNA is headquartered in Silicon Valley, California, with key areas of Autonomous Driving, Advanced Interaction Design, Digital User Experience, Machine Learning, Customer Research, and Open Innovation. In Farmington Hills, Michigan, the focus is on Powertrain and eDrive technology as well as in Long Beach, where the teams test durability of the latest driver assistant and telematic systems. The Digital Hub in Seattle focusses on developing a cloud architecture and building out the cloud platform for the next generation of connected car services. The Testing and Regulatory Affairs Division in Ann Arbor and the Advanced Vehicle Design in Carlsbad complete the competence center.

The Executive Administrative Assistant to the Vice-President & General Counsel of Mercedes-Benz Research & Development North America (MBRDNA) is responsible for coordinating the General Counsel’s schedule and priorities, as well as supporting a variety of tasks and projects for the Legal department as a whole. This hybrid role requires working onsite at our Long Beach, California office at least 3 days per week.

This temporary position involves collaborating with a small and diverse legal team to provide support in a fast-paced high-tech environment. This is a unique opportunity to get an in-depth view of the high-growth and innovative global auto industry. The Executive Administrative Assistant will support projects across multiple locations, helping keep the team synchronized, informed, and motivated, and also be the integral lead and organizer of numerous ad-hoc projects within the department, helping to drive the team’s mission forward.

Job Responsibilities:

  • Manage the General Counsel’s dynamic calendar and schedule, prioritizing and resolving competing requests for time and proactively scheduling important meetings with internal and external individuals.
  • Arrange international/domestic travel and related requirements for the General Counsel which include travel authorizations, flight tickets, hotel bookings, visas, airport transfers, expense reports, contract signatures, etc.
  • Handle expense reports and reimbursements and assist with budgeting and tracking costs.
  • Assist the General Counsel with preparation of executive-level presentations.
  • Support all members of the Legal team (consisting of lawyers, procurement, and patent professionals) on administrative tasks and special projects as needed.
  • Prepare agendas and take, transcribe, and distribute meeting notes or minutes as requested. Compile action items for follow-up to share with the General Counsel and Legal team.
  • Coordinate on-site and off-site Legal team meetings, presentations, workshops, conferences, telephone or video conferences, etc.
  • Provide contract support, including but not limited to, coordinating contract reviews, signatures, and documentation of fully executed contracts.
  • Maintain the Legal team intranet page and help highlight team cultural/career moments such as birthdays and work anniversaries.
  • Demonstrate discretion and maintain a high level of confidentiality at all times.
  • Contribute to the excellent reputation of the Legal department through professional, friendly, and respectful interactions internally and externally.
Minimum Qualifications:
  • Minimum level of education required and required field of study: Bachelor’s Degree or equivalent work experience.
  • You have a solid background supporting executives in fast-paced, dynamic work environments.
  • You are a self-starter, proactive, business-practical, resourceful, and efficient.
  • You have strong computer skills (Office 365, Adobe Acrobat, DocuSign, contract management, Confluence, invoicing and budgeting systems, etc.) and are able to quickly learn new processes and tools.
  • You have experience assisting with budgeting for a corporate department and have basic finance knowledge.
  • You have excellent organizational and communication skills, including proactively updating your manager and colleagues on topics you are supporting.
  • You are able to multi-task and perform under strict deadlines, while keeping close attention to detail
  • You have the maturity, confidence, and poise to interact effectively with staff at all levels.
  • You are able to anticipate the needs of the executives and teams you support and show initiative.
  • You can work independently, as well as part of a team.
  • You have a genuine desire to work well with people and are able to build positive and respectful relationships internally and externally.
Preferred Qualifications:
  • Prior experience supporting lawyers at a law firm or in-house legal department.
  • CIPP certified.

Additional Information:

The successful candidate’s starting pay will be determined based on a wide range of factors, including, but not limited to, job-related education, skills, and experience, geographic location, and market conditions. The current salary range for this position is as follows and may be modified in the future: $75,000-$95,000.

NOTE: This is an "exempt-salaried, full-time contractor (non-employee)" position.
