Responsibilities

  • Acts as Build Pro Administrator
  • Maintains starts, pre-construction and other monthly cycle time reports
  • Uploads supporting community level documents per project
  • Coordinates field staff’s resources: signage, uniforms, SWPP requirements, etc.
  • Acts as Office Safety Officer maintaining Safety Training Logs
  • Updates Field Training spreadsheets
  • Maintains Calendar for VP of Ops and Architecture Manager
  • Organizes and collects field paperwork to saved shared drive (Pre-Con, Pre-Drywall, NHO)
  • Pays red tag fees as needed and general field support for required closing items & tracks Certificate of Occupancy providing to Closing Department
  • Coordinates GC licensing with local municipality including bonds, insurance certificates, online inspection logins & annual renewal fees
  • Develops and maintains customer service relationships with Permitting Vendors, Builders and Area Construction Managers
  • Assists in managing the permitting process, which includes coordinating with Architecture Manager and Permit Runners for all municipality permits
  • Attends Weekly Starts meeting with VP of Construction to communicate starts for coming weeks
  • Publishes weekly start email to field operations
  • Maintains the electronic lot specific job folder from start to close of home on shared drive
  • Create accounts for utilities (Electric, Gas, Water) for new home construction
  • Codes construction related invoices on weekly basis for VP Ops approval
  • Updates accounting along with ACM on any indirect construction budget changes and publishes reports for Construction Indirect spend as requested

Qualifications

  • Bachelor’s degree preferred, but not required
  • Two years of office administration experience in a construction related field
  • Pleasant phone manner and ability to manage multiple lines simultaneously
  • Strong computer skills in Microsoft Office, particularly Word, Excel, Email and Hyphen Solutions
  • Strong organizational skills
  • Proactive “driver” mentality
  • Persuasive personality to work with internal customers and Homeowners
  • Strong communication skills
  • Ability to re-prioritize on a moment’s notice and deal with constant change
  • Ability to understand scheduling and residential plans
