Masuda Funai is Hiring an Office Manager Near Chicago, IL

Masuda Funai is seeking an experienced professional to manage the day-to-day office functions of the Firm, in support of the Firm’s practice and business priorities. This position is responsible, in part, for office operations and workflow, facilities and space planning/utilization, purchasing, and conflicts/records management. As a member of the firm’s management team, this position will collaborate with the attorneys, staff and other managers, and will work with the Vice President of Administration to strategize and implement plans to address the changing needs of the attorneys and clients. The ideal candidate will possess excellent leadership, communication and problem-solving skills, superb judgment, and an abundance of energy and enthusiasm.

This position requires a minimum of 5 years of professional services management experience, along with the ability to establish and maintain credibility among the firm’s partners and management team. Demonstrated proficiency in MS Office (Word, Excel, PowerPoint), and familiarity with law firm software is preferred.

We are a unique, national law firm specializing in representing international clients doing business in the U.S. Our attorneys handle matters ranging from complex corporate transactions and litigation, to employment and immigration, intellectual property and real estate matters, and our diverse client base spans many industries and cultures.

Responsibilities

  • Office services functions – reception, mail center, records management, purchasing and vendor relationships
  • Oversight of facilities, including space planning/utilization, office moves and set-up, landlord relations, office equipment and furniture maintenance and repair
  • Records management – off-site storage, records retention/destruction program, and electronic records storage practices
  • Research/library management – on-line research subscriptions and print publications, coordinate training with the vendors, negotiate renewals, work with the various Practice Groups to assess needs
  • New business intake/conflicts process – file opening and conflicts process, training on file opening and records processes and 3E software
  • Hospitality – coordinate client and internal meetings and firm events
  • MCLE program and software
  • Other tasks include:
  • Develop, implement and oversee office services policies and procedures
  • Firm communications
  • Special projects, as assigned

Please note that this position does not have any HR-related responsibilities. 

Qualifications

  • Bachelor's degree in business or related field
  • Minimum 3 to 5 years' related experience, preferably at a law firm or professional services firm
  • Demonstrated effective communication and leadership skills necessary to maintain relationships with attorneys, staff and clients
  • Hands-on manager with a customer-oriented focus
  • Excellent computer and technical skills, including proficiency with Microsoft Word, Excel, PowerPoint
  • Highly organized and solid time management skills
  • Previous supervisory and project management experience
