MAGNOLIA PERSONNEL GROUP is Hiring an Office Coordinator Near Waco, TX

OFFICE COORDINATOR | JOB DESCRIPTION SUMMARY At Magnolia, the Office Coordinator is responsible for the completion of all office operations, utilizing current databases, filing systems, and electronic records daily. This position is a high-level administrative role and will be required to multi-task between different functions, as well as demonstrate problem-solving skills. This position works from the Magnolia Warehouse in Waco, Texas. It reports to the General Manager and has no supervisory responsibilities. ESSENTIAL DUTIES AND RESPONSIBILITIES Uphold Magnolia’s manifesto and values Maintain security by controlling front door access via the reception area and following up with the security team to maintain, assign, and communicate building access to employees Operate and maintain all office equipment such as fax machines, copiers, and phone systems Submit all necessary work orders to the facility, security, and IT teams to report errors and ensure machines are operational Oversee the scheduling of all Warehouse conference rooms and ensure rooms are properly supplied in preparation for meetings and cleaned after meeting closure Review and submit office supply orders and bid requests, serve as the primary contact with the finance department for Warehouse supply and work orders, record supply expenses, and monitor the supply budget Plan and organize Warehouse events, meetings, and team building activities, as requested Serve as the point of contact for Warehouse-related safety updates, safety concerns, and filed incident reports with other departments Assist management team in the hiring process by conducting phone screens, scheduling interviews, collecting paperwork, and assisting with the onboarding process of all new frontlines employees Assign employee work schedules on a weekly basis while monitoring and approving time-off requests, work availability, time punches, and communicating occurrences to Management team Assist management team with employee accommodations by assigning lockers, distributing supplies, and posting company information and updates Perform other duties as assigned QUALIFICATIONS Hard skills: Proficiency in Microsoft Office Suite preferred Soft skills: Strong verbal communication, problem solving, and organizational skills required Education: High school diploma or GED equivalent required, Associate’s degree from a 2-year college or technical school preferred Experience: 1-2 years of related work experience required General availability: Must be available to work occasional weekends as business needs require PHYSICAL DEMANDS While performing the duties of this job, the employee is required to sit; use hands and arms to reach, handle, feel; utilize fine motor dexterity of fingers; talk or hear and taste or smell. The employee is frequently required to stand and walk. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds. The employee is expected to utilize team lifting techniques when lifting bulky items or items weighing above 50 pounds and up to 120 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. WORK ENVIRONMENT While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually moderate.
