Job Description:
The School of Professional and Continuing Education at Madison College is seeking an Administrative Specialist. This position is centered around providing administrative support for the Professional and Continuing Education office. This position involves collaboration with a variety of stakeholder groups, both internal and external, along with different agencies and units. The aim is to prioritize services that are in line with the needs of both the College and its stakeholders. Most tasks are carried out independently, with the final review of work being conducted by a supervisor.
This is a full-time position Monday through Thursday 9:30am - 6:00pm and Friday 8:00am - 4:30pm.
The Administrative Specialist reports to the School Operations Manager in the School of Professional and Continuing Education.

Responsibilities:
  • Responsible for developing and managing the semester timetable (course schedule), incorporating class and faculty details. Monitors enrollment numbers, ensuring all enrollments belong to valid students. Calculates and analyzes the profit/loss of classes to optimize resource allocation and effectiveness. Oversees cancellations and student records.
  • Delivers student support services for non-credit certificate programs, badges, and classes.
  • Responsible for providing faculty support.
  • Performs Department Initiator workflow processes to hire, on-board and term part-time faculty, casual, and student help.
  • Coordinate Career Discovery Camps.
  • Implements and maintains a file management and SharePoint system.
  • Maintains a commitment to the college mission, vision, and values.
  • Other duties as defined by department, college, or official.
Knowledge, Skills, and Abilities:
  • Skill in communicating effectively, both orally and in writing.
  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
  • Skilled in building and sustaining productive and harmonious working relationships with individuals at all organizational levels, students, and the general public.
  • Demonstrates the capability to take the initiative, work autonomously or with minimal supervision, and make well-informed decisions with little direction.
  • Ability to use critical thinking and analysis to pro-actively solve problems and improve processes.
  • Proficient in coordinating individual tasks with team efforts, ensuring seamless collaboration and adherence to established quality standards for assigned projects.
  • Ability to manage projects, maintain timelines, and anticipate potential obstacles.
Minimum Requirements:
  • Associate degree
  • One (1) year of work experience, directly related to the skills required for successfully performing the duties of this position.
