URGENT CARE MANAGER JOB DESCRIPTION

JOB DESCRIPTION

The Clinic Manager at Lynn LLC is responsible for the overall administrative and clinical activities required to maintain the efficient day-to-day operations. The Clinical Manager supervises all administrative and clinical staff, and ensure that an exceptional level of service is delivered to all Lynn and Woburn Urgent Care patients. It is the responsibility of the Clinic Manager to establish and maintain a positive working environment for Lynn Urgent Care center employees. This position requires full understanding and active participation in fulfilling the mission of the organization. The Clinic Manager will be working hand in hand with the clinic leads and will act as liaison between the clinic and the Directors.

RESPONSIBILITIES

  • Day to day management of all center operations
  • Supervise Lynn and Woburn Urgent Care employees to ensure quality care, superior customer service, patient satisfaction and expected productivity of the center and efficiency of the team
  • Manage center to budget and financial expectations including performance against given budgets and performance metrics.
  • Plan and prepares provider work schedules and supervise MA/MR/PA schedules made by leads in a timely manner
  • Ensure employees are fulfilling their required duties in compliance with company policies
  • Assist marketing department by participating in various community relations activities and on-going community relations and marketing for the center
  • Support leadership team by completing all expected daily, weekly, and monthly reporting duties
  • Work with HR department and direct leadership team to manage center-level staffing requirements, payroll and conducts staff evaluations
  • Work with billing department on a regular basis to review processes for patient charges, registration, patient statements, and all matters related to the interface between the front desk registration process and billing
  • Track and manage inventory quarterly and order all center medical and office inventory while keeping within budget parameters
  • Assist sales representative to develop and implement new contracts within the community to help drive volume.
  • Implement correct processes within the center to deliver newly contracted services.
  • Flex staff to meet demand within center keeping overtime at the lowest possible level as appropriate to the volume.
  • Perform any additional duties as assigned by the Urgent Care Leadership Team
  • Assist in the recruiting, hiring, training and performance management of employee

SPECIFIC DUTIES

  • Oversee and direct all on-site front and back office staff
  • Workers Compensation and Pre-Employment Cases
  • Responsible for clinic cleanliness and aesthetics
  • Order office and medical supplies as needed
  • Ensure all laboratory work is sent out in a timely manner
  • Assist the on-site providers with any issues
  • Reports on clinic’s monthly revenue
  • Maintaining up to date clinic licenses
  • Hiring, training, and terminating employees with leadership team and HR representative
  • Maintain appropriate staff scheduling
  • Ensure punctuality and attendance using Homebase, fill in when necessary
  • Complete EMR complete/incomplete work que and sign off on charts
  • Complete Admin Bins
  • Supervise/manage team leads
  • Determine educational needs and conduct didactics as needed
  • Department of Health Reporting
  • Any and all additional duties to ensure the clinic operates effectively and efficiently
  • Report to the Directors (Operations, Human Resources, and Finance) accordingly.

SCHEDULE

  • Full time position (40 hours per week)
  • Managing two clinical sites (Lynn Urgent Care and Woburn Urgent Care)

QUALIFICATIONS

  • 1-3 years leadership experience in a consumer driven medical services setting.
  • Experience in multi-site management is strongly preferred
  • Strong project management, organizational, and time management skills
  • Excellent problem-solving, analytical and evaluative skills
  • Ability to communicate appropriately with all levels of staff and the administrative team
  • Leadership skills to foster and maintain a team approach, consistent work-ethic and positive morale amongst employees
  • Drive to continually assess quality of service to the patient, productivity of the urgent care center, and efficiency of the assigned staff
  • Ability to understand and enforce standard health care regulatory requirements
  • Ability to work closely and directly with directors and center staff
  • Ability to work varied hours which include all days/hours that center is open
  • Current state license required
  • Ability to establish and maintain effective relationships with staff, patients, and families
  • Clinical experience is also highly valued, and individual could have a dual clinical and administrative role

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
