Description

GENERAL DESCRIPTION:

The Human Resources Specialist is responsible for supporting LSSNY’s Human Resources Department in administering HR functions for the Safe Haven program. Safe Haven is a 24-hour shelter and transitional foster care program that serves young persons in immigration custody who are awaiting release to their sponsors. These HR functions include maintaining and updates job postings, tracking and screening applicants, assisting with recruitment, conducting new hire orientation, and onboarding, tracking and generating reports, executing benefits for Safe Haven staff, and represent human resources during staff meetings.

The Human Resources Specialist will perform the following functions for Safe Haven candidates and staff:

MAJOR DUTIES AND RESPONSIBILITIES:

Human Resource Department

  1. Ensure a high level of confidentiality with all personnel information
  2. Answer questions and provide information to Lutheran Social Services of New York employees
  3. Assist in employee investigations and the complaint resolution process
  4. Represent human resources in staff performance counseling up to and including terminations

Human Resource Records

  1. Ensure staff files are audit ready
  2. Maintain the Human Resource Information System program, tracking systems, policies, and procedures
  3. Assist program in the preparation of personnel transactions.
  4. Process new employee information and all change of status forms

Payroll and Reports

  1. Liaison with Payroll Department to ensure accuracy of staff paychecks as needed
  2. Assist in reviewing personnel actions and ensure that they are processed accurately and promptly in Payroll/Human Resource Information System
  3. Interface with auditors as required
  4. Run reports as requested

Benefits

Recruitment

  1. Attract job applicants by posting job advertisements via online job boards, internal email, and digital media
  2. Analyze recruitment data to ensure maximization of applicant recruitment, providing recommendations for where to prioritize recruitment efforts and sponsorship of job postings
  3. Maintain records, reports, and logs pertaining to applicant flow
  4. Assist with the preparation, sending, and processing of pre-employment paperwork, including coordinating all required employee clearances
  5. Assist with new hire orientation

General

  1. Ensure delivery of an appropriate and consistent level of customer service
  2. Ensure compliance with all federal and state laws and regulations and Lutheran Social Services of New York policies and procedures
  3. Assist in identifying development of key measurements, trends, and benchmarks for Human Resources
  4. Support general human resource activities as directed
  5. Perform all other job related duties as necessary

Qualifications


QUALIFICATIONS

EDUCATION:

  • Bachelor’s Degree in Human Resources, Business Administration or related field preferred

EXPERIENCE:

  • Minimum of 1 years’ experience in similar position

SKILLS & ABILITIES:

  • Demonstrated ability to set and meet deadlines

  • High level of organizational ability

  • Ability to multi-task

  • High level of written and verbal communication skills

  • Demonstrated ability to work collaboratively toward solutions that generally benefit all involved parties to accomplish overall organizational objectives

  • Demonstrated proficiency in secretarial skills (e.g. spelling, formatting letters, prioritizing work, editing to ensure that final typed work is free of errors)

  • Demonstrated skill in computer programs necessary to meet the needs of the department

  • Experience in working with sensitive information and proven ability to maintain confidentiality and use appropriate discretion

  • Spanish fluency preferred
