Long Beach Transit is Hiring a HR Assistant Near Long Beach, CA

Overview

Under the direction of the Human Resources Manager, this position performs a wide variety of paraprofessional work, can multi-task and prioritize the needs of various departments within the company and remains a team player. Duties include performing clerical work requiring the application of various work methods and procedures, and familiarity with departmental functions, policies, and practices. 

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Maintain and record Leave of Absences for Staff employees and enter in the electronic attendance recording keeping software
  • Maintain and track employee FMLA leaves and ensuring compliance with the FMLA requirements through online database manager
  • Conduct and reconcile quarterly balances with payroll on leave hours
  • Audit new hire paperwork and termination files, as well as process termination files
  • Coordinate bi-yearly online Sexual Harassment training and training requirements for new hires
  • Coordinate Vacation and Sick Buy Back Programs
  • Serve as backup for Benefit Coordinator
    • Conduct new employee onboarding process, including explaining insurance benefits and eligibility rules, pay practices, sick and vacation accruals, retirement plans and verification of the completion of employment forms and procedures
    • Creating badges
  • Compile data from personnel records and prepare reports
  • Maintain records on unemployment compensation claims
  • Maintain confidential personnel and medical files in accordance with the agency’s record retention policy
  • Create and/or type forms as needed
  • Act as a resource for employees and managers regarding policy and procedure questions
  • Attend committee meetings and take minutes
  • Retrieve data to assist in the preparation for grievance and disciplinary hearings
  • Collaborate with supervisors and managers to facilitate the Employee of the Month program, ensuring timely recognition by driving the nomination and selection process forward
  • Support the HR department with accounts payable, as needed

  • Working knowledge of business English, spelling, and arithmetic; office practices and procedures; departmental rules and regulations
  • Ability to understand, communicate and carry out oral and written instructions and to request clarification when needed
  • Ability to maintain established records and files
  • Ability to establish and maintain effective working relationships with co-workers, employees, and officials in other departments
  • Ability to maintain confidentiality on subject matters
  • Knowledge of Federal and State Laws

EDUCATION and/or EXPERIENCE:

  • High school diploma or GED equivalent, one to three years related experience in an office environment preferably in Human Resources; or equivalent combination of experience and training that provides the preferred knowledge, skills, and abilities

Salary Range: $44,630 - $60,250 per year (Depending on Qualifications)
