LOMBARD PARK DISTRICT is Hiring a Human Resources Assistant Near Lombard, IL

Job Summary:

The Part-Time Human Resources Assistant will provide clerical and administrative support to the Human Resources Department. This role involves processing confidential documents, assisting with new hire paperwork, background checks, maintaining records, and ensuring adherence to policies and procedures.

Qualifications:

  • High School Diploma or equivalent required.
  • Minimum of two years of clerical experience, preferably in human resources.
  • Strong organizational skills and attention to detail.
  • Ability to handle sensitive information with discretion.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with HR software, timekeeping and payroll systems preferred.

Essential Functions and Responsibilities:

A. Customer Service:

1. Assist with answering and directing phone calls.

2. Address public inquiries (both walk-ins and phone calls), resolving issues where possible.

B. Human Resources Support:

1. Assist in the day-to-day operations of the HR department:

  • Process change-of-status forms and related employee documentation.
  • Conduct background checks for seasonal staff and volunteers.
  • Manage reporting of new employees to the Illinois Department of Employment Security (New Hire Reporting Program).
  • Maintain and update online job postings.
  • Assist in screening applicants and conducting reference checks.
  • Keep an up-to-date calendar for employee time off and absences.

2. Provide clerical and administrative support to the HR Manager:

  • Maintain accurate HR records, including personnel files, in compliance with federal, state, and local regulations.
  • Perform regular audits of HR files and records for completeness and accuracy.
  • Support HR with the processing of personnel transactions (hires, promotions, transfers, terminations, etc.).
  • Assist in coordinating HR projects such as employee training, meetings, surveys, and events.
  • Respond to employee inquiries regarding HR policies and procedures.

3. Help plan and execute HR-related events such as benefits enrollment and organization-wide meetings.

4. Attend relevant District meetings and in-house training sessions, track training activities, and maintain records.

Additional Duties:

  • Perform any other duties as assigned by the Human Resources Manager.

Job Type: Part-time

Pay: $17.50 - $20.00 per hour

Expected hours: 20 per week
