Live On NY is Hiring a Receptionist / Administrative Assistant Near Long Island City, NY

Overview:

Coordinates and schedules appointments (internal & external), gives information to callers. Performs administrative assistance as well as general clerical work and projects for Administration and other departments as needed. Provides front desk and phone reception and distributes incoming mail and packages. Responsible for consistently following visitor protocol, ensuring organizational security. Organizes and maintains the front desk, print/mail room, café and coffee stations in good order, including a stock of coffee/kitchen items and snacks, basic general office supplies and toners for equipment. Supports and fosters the Mission, Vision and Core Values of LiveOnNY and its commitment to organ and tissue donation.

Responsibilities:
Administrative Assistant/Receptionist Responsibilities:

Provides administrative assistance for Administration and other departments as needed, arranges meetings using MS Outlook, answers telephone and takes messages as needed. Types letters, memos, or forms and assists other departments with projects as assigned.

Responsible for opening reception from 9:00 a.m. to 5:00 p.m. on all regularly scheduled workdays. Notifies and works with manager to make sure that adequate coverage is maintained for the Front Desk during hours the office is open.

Maintains tracking system and followup with building management and vendors to ensure current COI (certificate of insurance) is on file. Establishes, organizes and maintains electronic and paper files, correspondence, documentation and other records.

Answers and screens phones in a professional manner for the organization. Directs incoming telephone calls and visitors to proper person. Maintains general knowledge of the various departments in order to be able to identify callers’ interests and direct all calls appropriately and efficiently.

Greets and welcomes visitors and utilizes vistor management system to advise appropriate personnel of their arrival, consistently following visitor protocol, ensuring organizational security.

Organizes front desk, café, coffee stations and print/mail room and maintains in good order each day and distributes incoming faxes to staff. Orders and maintains stock of coffee/kitchen supplies and snacks and basic office supplies including toners for the fax machines and photocopiers.
Receives and distributes incoming mail and packages to all staff. Arranges for shipping of Federal Express and United Parcel Service packages. Affixes postage to outgoing mail. Ensures package and mail pick up by carrier.
Qualifications:
Receptionist Qualifications:
High School or Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
