Liberty Science Center is Hiring a Full-Time Head of Facilities Near Jersey City, NJ

The RoleLiberty Science Center (LSC) is seeking a Head of Facilities to join our Operational Excellence team. The Head of Facilities is a new role and will focus on providing strong leadership, strategic vision, and daily management of LSC’s facility operations, which includes: building operations; engineering; housekeeping; parking; landscaping; security; exhibit services; animal husbandry; and capital building projects. The Head of Facilities works closely with the leaders of each of these areas to ensure that all facilities-related teams are supportive of LSC’s gallery activities, public programs, camps, special events, and administrative operations. The position guarantees that LSC work orders are proactive, preventative, and responsive and that there is a strategic plan for future capital projects and equipment upgrades so that LSC’s overall facility operates at its optimal state and remains a safe and secure environment for all guests and employees. The Head of Facilities will also provide strategic guidance on any large-scale and/or VIP events taking place at Liberty Science Center.In addition, the Head of Facilities takes the lead in and serves as a role model in cultivating and maintaining a healthy culture of teamwork, transparency, and accountability consistent with Liberty Science Center’s values and service philosophy. Moreover, the Head of Facilities will need to hire, train, supervise and provide regular, ongoing evaluation of a growing facilities team.The Head of Facilities reports to the Executive Vice President & Chief Financial Officer (CFO) and serves as a member of the Senior Leadership Team. The incumbent is also a key collaborator with all of LSC’s team leads.What You’ll BringCollaborative by nature, you have the ability to establish strong relationships with key LSC stakeholders and work well cross-departmentally. You have the ability and disposition to handle the demands of maintaining a consistent guest and employee experience in an “always-on,” highly public-facing environment. With accountable leadership and tried and true facilities management experience, you’ll bring drive and purpose with the ability to adapt and lead multiple specialty teams toward common business goals and future vision. You have an eye for efficiency and can dig into processes, schedules, and contracts to find areas of improvement with the goal of a well-oiled and safe facility from top to bottom. Comfortable working in a fast-paced and ever-changing environment, you are proactive, demonstrate integrity and sound judgment, and take pride in paying strong attention to detail. You can operate effectively in a Boiler Room or a Board Room. You have leadership gravitas and can exercise independent judgment and make clear and concise executive decisions based on the goals and values of Liberty Science Center. What You’ll Do The Head of Facilities will work with the facility departmental heads to perform some combination of the following essential functions and ensure success in each area:Overall Staff Management: Manage effective teams and cross-departmental work groups with respect, a spirit of collaboration, effective communication, and inclusion. Create clear team and individual goals, communicate performance expectations, and hold the team accountable to these. Serve as mentor and coach. Lead by example. Use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities and respond appropriately to conflicts and problems in collaboration with LSC’s Chief People Officer. Work with our People team to identify training and growth opportunities for staff, develop an effective performance management process that includes asset-based coaching, and fill open positions with knowledgeable, high performing talent. Partner with the People team on addressing the needs that our employees have as it relates to their work areas and our building spaces. Ensure adequate staff coverage at all times and that cross-training is happening across the Facilities team. Foster a culture of customer service and high standards of care.Building Operations: Work closely with the building operations team to ensure the effectiveness of facility operations, including but not limited to the mechanical, electrical, plumbing, storage, and custodial needs of the building and grounds . Provide technical leadership for preventive maintenance programs, outage responses, repairs, inspection programs, planned upgrades, and any other aspect of facilities. Guarantee compliance with applicable building and safety codes, OSHA recommendations, state inspections, hazardous waste disposal, MSDS documentation, and other public health concerns. Assist with weather emergencies or any other emergency issues that may arise. Manage third party vendor contracts in this area and ensure that team members are being held accountable to contract terms.Security Operations: Protect our guests, employees, vehicles, and equipment. Work closely with the facility teams and the Chief People Officer and Sr, Director of Guest Experience to create and implement an extensive Safety Management and Emergency Management Plan. Develop and maintain institutional standards that reflect current best practices, including evacuation plans, security operation manuals, accident and incident reports, fire and natural disaster plans, active shooter protocols, guest emergencies and removals, and related materials. Ensure all staff are trained on all safety protocols. Ensure regular inspections and surveys of the interior and exterior of the building are conducted to proactively identify potential risks and recommend corrective action. Exhibit Services: Ensure an efficient process for executing the regular cleaning, maintenance, safety analysis, setup and breakdown of temporary exhibits and troubleshooting of all gallery exhibits and components. This includes the efficient running of LSC’s production shop and the skilled technicians working behind the scenes. Ensure Exhibit Technicians are proactive as well as responsive to keep all exhibits running smoothly. Coordinate with other departments such as IT and Exhibit Design and Development on creative and efficient upgrades as needed for a successful guest experience. Animal Husbandry: Work closely with the Animal Husbandry team to ensure the effective management of animal habitats and animal care, including but not limited to the operations and maintenance of exhibit spaces, life support systems, and aquatic tanks. Ensure collaboration between Husbandry team and other Facilities teams, such as Engineering and Exhibit Services, to manage projects and respond to maintenance issues and upgrades. Serve as a thought partner on recruiting, training, animal care, acquisition and handling, documentation, and other departmental concerns.Capital Planning & Projects: Through a thorough understanding of LSC’s current infrastructure needs and equipment life cycles, build a strategic capital planning process that meets the needs of the institution and works within the assigned CapEx budget. Guarantee the proper execution of LSC’s expansion projects, facility renovations and equipment upgrades, and other building projects, including maintaining robust communication with all stakeholders, data collection, and financial alignment through all phases o f an LSC project life cycle. Budget, Contracts, and Union Management: Provide strategic planning and management of all financial resources across the LSC’s facilities function. Ensure proper budgeting and expenditures within constrained resources that are common for a nonprofit. Track and analyze budgetary and financial information. Maximize supply chain, competitive sourcing, and procurement activities. Oversee process for hiring vendors, consultants, contractors, etc., including developing the scope of work and assessing work quality. Maintain positive working relationships with union representatives and ensure all tasks are performed in compliance with union contracts. Communication: Communicate effectively at all levels of the organization and influence change toward future strategic vision. Stay abreast of current events and potential threats that may impact LSC; communicate with senior management and make appropriate mitigation plans as needed. Establish and maintain effective working relationships with other department staff, management, vendors, and outside agencies.Sustainability: Lead LSC’s sustainability efforts; implement measurements to reduce energy use and waste, ensuring our Science Center operations are as green and sustainable as possible.Other Duties, as Assigned: Perform miscellaneous tasks as necessary for the demonstrated successful implementation of assigned duties.Preferred Knowledge, Skills, and Abilities (KSAs)The ideal candidate will bring the following combination of knowledge, skills, and abilities to bare on this role: 

  1. Exceptional leadership skills, including the ability to manage and coach diverse teams that are both union and non-union, resulting in high quality work being delivered on time and within budget
  2. Thorough knowledge of the methods, practices, and procedures of facilities maintenance and construction as they relate to high attendance environments
  3. Knowledge of environmental compliance and local laws that govern facilities management
  4. Can lead design and construction professionals as well as effectively communicate with multiple internal and external stakeholders in a regulated environment and is familiar with the major project delivery processes and the pros/cons of each and when to recommend which based on project particulars
  5. Ability to recommend options development for Master Plans and capital projects so that budgets can be developed with foresight , be all inclusive and provide pricing alternatives to provide flexibility for decision making by the Executive team.
  6. Has the ability to set priorities for capital implementations based on administrative/strategic priorities balanced w/ feedback on practicality of implementation to meet those priorities
  7. Demonstrated financial and/or budgetary experience including planning, preparation, and administration of large budgets, forecasting expenditures and potential revenue sources, and ability to conduct financial analysis
  8. Thorough knowledge of complex mechanical equipment, including experience working with heating, venting, and air conditioner systems (chillers, boilers, etc) and automated building management systems 
  9. Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines in a fast-paced environment with limited resources
  10. Skilled in communicating information to a diverse set of stakeholders, including union employees, in a collegial environment
  11. Demonstrated excellent oral and written communication skills
  12. Working knowledge of relevant city, state, and federal regulatory requirements
  13. Ability to read and comprehend blueprints and other architectural specifications and sketches and converse with engineers and architects
  14. Exercising independent judgment
  15. Analytical, strategic, and critical thinking
  16. Skilled in the art of negotiation and conflict resolution
  17. Ability to maintain a high degree of confidentiality

Preferred QualificationsThe ideal candidate will bring the following combination of education and experience to bear on this role: 

  1. Degree in facilities management, engineering, architecture, construction management, or other related field 
  2. 8 years of experience working with building operations and maintenance equipment such as building mechanical systems, plumbing systems, chilled water systems, and/or steam heating systems in a high attendance setting;
  3. 5 years of people management experience;  experience overseeing plant operations and engineering via various front line managers
  4. Demonstrated experience developing KPIs to track performance of operation excellence
  5. Experience working in a high attendance environment, such as a museum, educational or cultural institution, nonprofit or customer service-focused organization; experience working in a union environment is a plus
  6. Possession of a valid driver’s license or the ability to obtain by date of hire
  7. Must be digitally fluent and have experience working in a Windows environment and proficient in Microsoft Office Suite, Google Apps, AutoCAD, and other job-related computer programs
  8. Participation in related professional organizations and in courses in area that show commitment to growth in field

Supervisory ResponsibilitiesThis role will directly and indirectly supervise multiple teams that include a combination of unionized and non-unionized tradespeople. Direct reports will include: Building Operations, Security, Exhibit Services, and Animal Husbandry. In addition, this role has oversight of several third party vendor contracts that includes staff who work onsite in engineering, housekeeping, security, and the parking lot.Classification and ScheduleThis is a full-time, exempt role. This role is not eligible for overtime but is benefits and bonus eligible. The Head of Facilities must work in a flexible manner to respond to urgent situations and emergencies 24/7 and 365 days a year. The Head of Facilities will maintain a high degree of scheduling flexibility, meaning the ability to shift schedules to include early mornings, evenings, weekends, and holidays as certain business needs and special events may require. Travel RequirementsThis position may also involve limited local travel.Physical/ Mental/ Sensory DemandsThe work environment characteristics described here are representative of those that a Heads of Facilities would encounter while performing the essential functions of the job.While performing the duties of this job, the employee will be in a standard office environment and a workshop that includes a wood shop, metal shop, and paint booth.
