Overall objectiveThe Executive Assistant (EA) reports to the Chief Administrative Officer (CAO) and assists in the administrative and operational support functions for the CAO Group, including administrative support to the CAO and his/her executive direct reports. The successful EA is a team player who encourages efficient and effective collaboration while working skillfully to build respectful and productive relationships with multi-functional internal/external business partners. The incumbent must maintain the highest possible standards of professionalism, confidentiality, accuracy, integrity and business acumen at all times. Essential FunctionsPerforms administrative and duties for the CAO and direct reports including preparation and processing of internal and external correspondence, scheduling of appointments and meetings, planning travel arrangements, screening and routing telephone calls and inquiries to proper person/area, and providing meeting and conference support. Maintains paper and electronic files. Communicates information and instructions on behalf of the CAO. Supports CAO Group team members as needed.Oversees and coordinates critical items for CAO’s attention, and delegates matters to others for action. Prepares slides and graphs using presentation software.Coordinates and attends various meetings, prepares minutes and supporting documentation, including Board level support.Maintains effective communications with employees, vendors, and clients of the Bank to facilitate information exchange and problem resolution. Financial responsibilities including Requisition & Purchase Order creation on behalf of CAO Group.Other related duties as may be required. principal accountabilities AdministrativeProvides professional administrative services insuring confidentiality of corporate matters.Customer ServiceInsures that customers, clients, and employees receive quality customer service in response to inquiries and problem resolution.Meetings/Special EventsPlans and coordinates meetings and special events in an organized and efficient manner.Records and FilesMaintains accurate and current corporate records and files.ComplianceAdheres to applicable federal and state regulations and Bank policies and procedures, including OFAC, BSA, PATRIOT Act, Privacy, and consumer protection regulations pertaining to incumbent’s business lines. Completes required training (on-line and in-person) by due dates.
