Leopardo is looking for a Project Assistant to join our Chicago team!

Summary: The Project Assistant - JOC will perform all Leopardo administrative responsibilities of specific projects for the Job Order Contract (JOC) group. The role will support all levels of the project team to aid successful project completion. The immediate day to day contact/supervisor is the Project Manager(s) with additional supervision and interaction with the OfficeManager.

Essential Duties andResponsibilities:

  • Create, update and generate the following per project utilizing Viewpoint software: project set up, all contractual documents including subcontract agreements, limited work authorizations, work authorizations, design/build contracts, consultant agreements, purchase orders, change orders, meeting minutes, requests for information (RFI), project submittals, and drawing logs. Produce weekly distributions to the project team related to compliant project status to include status reports, project call sheets, and submittal and RFI logs.
  • Prepare reports or tasks specific to thedepartment such as: processing Letter of Intents in City of Chicago software (eGordian), inputting project updates in eBuilder, issuing final packages to the City of Chicago, updating Labor CertifiedPayroll (LCP) tracker spreadsheet with the Project Accountant.
  • Follow up for timely receipt of executed copies of all contractual agreements, change orders, purchase orders, and sub-tier compliancy through insurance and signed Exhibit CAgreements.
  • Work with municipalities for licensing, insurance, bonding and registration.
  • Work within the guidelines established for subcontract agreements and insurance per MasterAgreements.
  • Work directly with Leopardo’s insurance agent to obtain certificates of insurance from subcontractors. Properly track, record, confirm compliancy and timely renewal for all projectsubcontractors.
  • Maintain all current project documents (e.g., project manual/specifications, plan sets, approved submittals, RFI responses, ASKs, shop drawings) onPlanGrid.
  • Update project status and detailed information in various computer systems for marketing and projecthistory.
  • Prioritize incoming and outgoing correspondence/mail/package on a daily basis. Including but not limited to processing UPS, FedEx, messenger services and orderingblueprints.
  • Maintain current job files (electronically and in paper format depending on retention requirements) and file appropriately.
  • Generate check requests as needed for projects, renewals, and events/fundraisers. Coordinate travel arrangements asrequired.
  • Process and track project specific submittals, samples and shop drawings.
  • Schedule and coordinate calendars and onsite meetings including Outlook scheduling, reserving conference room, audio/visual requirements, conference lines and Web-ex meetings. Coordination of beverage set-up and catering may also berequired.
  • Organize, generate reports for, and participate in pre and post job meetings. Coordinate job start and job closeout with Superintendent and ProjectManager.
  • Provide the Administrative Assistant pertinent and accurate project information to facilitate the document closeoutprocess.
  • Create subcontractor bid lists and the Invitation to Bid (ITB) in bid software (Building Connected.) Track receipt of ITB responses, coordinate distribution of bid package/blueprints to subcontractors, and send addenda and/or clarifications; utilize box.net as required. Assemble bid book, call subcontractors for bids, and track bids as they are received. Type final proposal toOwner.
  • Attend department meetings, Project Assistant meetings, TQM and other miscellaneous TQM committee meetings.
  • Properly record and box project files for dead file storage at the close of each project. Move and archive all projectPlanGridfilestotheprojectfilesontheCompanyshareddirectory.
  • Additional support of the project team as required (e.g., Project Executive, Project Manager, Project Engineer, Superintendent, ProjectAccountant).

Education / ExperienceRequirements:

Minimum High School Diploma or equivalent required. Minimum of 2 years in the construction industry is preferred.

Knowledge of AIA documents and certificate of insurance required. Proficient with MS Office Suite; knowledge of Viewpoint aplus.

This is largely a sedentary role performed in a professional office setting. Hand-eye coordination is necessary to operate computers and various pieces of office equipment. While performing the duties of this job, the employee is occasionally required to stand; walk; use hands to finger, handle, feel or operate objects, tools or controls; and reach with hands and arms. The employee is occasionally required to climb or balance; stoop, kneel, bend, crouch or crawl; talk or hear; and smell. The employee must occasionally lift and/or move objects up to 25 pounds but frequently it is 10 pounds or less. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjustfocus.

Work Environment: Representative of those an employee encounters while performing the essential functions of thisjob.

This job operates in a controlled indoor environment where the noise level is usually quiet. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and faxmachines.
