WHAT YOU’LL DO:

The Project Coordinator is responsible for assisting the Project Managers in all aspects of project oversight and administration. This role is ideal for someone who enjoys variety in the workday and excels at organization, customer service, and effective communication.

The Project Coordinator will work directly with a divisional Project Manager by assisting them with all aspects of their day, including project set-up, estimating/budgets, bidding, submittals, planning, coordinating, subcontractor selection, purchasing and scheduling.

RESPONSIBILITIES INCLUDE:

  • Assist the Project Manager with overseeing assigned projects through all phases of the job including Pre, Mid, and Post-construction.
  • Work closely with Procurement Teams to ensure correct supplies and adequate materials are ordered. Assist with orders when needed.
  • Work closely with Procurement Teams to secure trade labor. Assist with finding trade partners when needed.
  • Issue POs, (Track/Manage subcontractor invoicing, material & rental invoices), process change orders as the project progresses and mitigate costs by recognizing potential issues and recommending sound solutions and substitutions.
  • Coordinate and participate in various meetings to review the status of the project, and to update the Corporate team on project status. 
  • Regularly communicate with team members, trade partners, and clients on project status.
  • Assist in setting up jobs, creating job folders, maintaining, monitoring, and organize project records and documents. Take meeting minutes, and distribute meeting minutes on behalf of the Project Managers.
  • Create, organize, and distribute bid documents.
  • Support the project team in working with government authorities on obtaining all necessary project permits, licenses, etc.
  • Coordinate and track submittals, change orders, schedules, and the distribution of updated construction documents to subcontractors and suppliers.
  • Coordinate travel arrangements, lodging, equipment and material deliveries for Project Managers and others.
  • Perform other projects/duties as assigned.

YOU’LL BE GREAT IN THIS ROLE IF YOU:

  • Have Administrative experience in the construction industry is highly preferred; 2 or more years' experience as an Administrative or Office Assistant is required.
  • Have the ability to be self directed and handle multiple tasks simultaneously.
  • Have excellent verbal, written, and interpersonal communication skills.
  • Have advanced proficiency with Google Workspace, Microsoft Office, or similar office applications.
  • Are a true professional in dealing with diverse groups of people, senior managers, staff, community leaders, clients, and other external partners.
  • Can make appropriate, informed decisions regarding priorities and available time.
  • Have the ability to complete a high volume of tasks and projects with little or no guidance.
  • Have exceptional organizational skills and impeccable attention to detail.
  • Have the ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Are able to maintain a high level of integrity and discretion in handling confidential information.
  • Are able to work a flexible schedule, including extended hours, weekends, holidays, and overnight travel as needed.
