Responsibilities

We are looking for an Office Manager to support the day-to-day operations of a small business.  Responsibilities include supporting general business administration functions, finance and accounting, customer service, and general business process improvement initiatives. Successful candidates must be able to pass a pre-employment drug screen. 

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Liaison for general office related inquiries
  • Perform receptionist duties such as greeting visitors, answering and directing phone calls 
  • Receive and sort incoming mail and deliveries; pickup and/or mail items as needed
  • Track and capture all expenses and budgetary information
  • Create and maintain various reports and documents using MS Office products
  • Identify opportunities for process and office management improvements 
  • Create new office policies and procedures as needed 
  • Maintain calendars and schedule group meetings
  • Assist with new hire office setup and onboarding coordination 
    • Assist with office clean up and document updates for offboarded employees
  • Track employee birthdays, anniversaries and other memorial events
  • Manage office supplies inventory and place orders as needed
  • Manage and order inventory for snack pantry and drinks weekly
  • Restock kitchens and drink fridges daily
  • Order food for weekly catered lunches and daily lunch meetings
  • Order gifts/flowers for employees (e.g. family loss, celebration, etc.)
  • Purchase and pick up monthly birthday cakes
  • As part of a small team; research, plan, and successfully execute monthly employee engagement activities
  • As part of a small team; organize company sponsored charitable events
  • Research and plan company events (e.g. picnic, holiday party)
    • Liaison for all building maintenance requests/repairs
    • Responsible for maintaining inspections and renewals of safety equipment and training (e.g. AED unit, fire extinguishers, CPR certifications)
  • Coordinate recruiting events as needed

Qualifications

  • 2-5 years of work experience in an administrative/office management role
  • Must have exceptional attention to detail
  • Strong organizational and time management skills
  • Ability to pivot focus, reprioritize,and multi-task
  • Must be a driven self-starter
  • Excellent communication and interpersonal skills
  • Strong problem-solving and analytical skills 
  • Must be proficient with Microsoft Office

 

Preferred Skills 

  • Bachelor's degree in business administration, communications, or a related field
