L&L Insulations is Hiring a Production Scheduler Near Des Moines, IA

Summary:

Responsible for producing and scheduling all pre-production documents, production documents, products and coordination of all deliveries of OEM Products and Accessories. This includes managing processes, procedures, warehouse and production personnel, customer relationships, and inventory. Responsible for coordination with customer’s, purchasing, sales, customer service, and shipping to effectively meet customer’s needs.

The OEM Production Coordinator position is essentially an office position, with some responsibilities that may take the incumbent into production areas, warehouse areas, shipping and receiving areas featuring less control of environmental conditions as necessary to perform the essential duties of the job.

Essential Job Duties

Management of Customer Orders, Inventory, and Production:

  • Coordination and communication with current and potential customers concerning product specifications and requirements. Shipping and delivery of materials, special orders, back orders and change orders, as well as addressing customers concerns and complaints.
  • Developing and cultivating successful business relationships with current and/or new customers based upon trust, respect, knowledge and service (convenience and ease of doing business).
  • Effectively communicate with customers to ensure the customers are completely satisfied and that we meet their needs and expectations with each and every order. 
  • Generate necessary documentation related to customer orders to ensure communications are verified and processed effectively for production, shipping, and billing purposes.
  • Follow-up with customers on every order to confirm they received delivery and if there are any issues needing addressed.
  • Effectively manage the production process to ensure cost effective, efficient and timely manufacturing of products. This includes all resources such as production and warehouse personnel, inventory, warehouse facility, tools, equipment etc.
  • Prepare material cut lists, production schedules, production work orders, production entries, and preparation of paperwork to submit to accounting for invoicing. 
  • Coordinate purchase orders with purchasing based on material requirements to satisfy the customer’s needs.
  • Change agent recommending and initiating improvements in processes and procedures which enhance the efficiencies of the operation, the quality of products, the service our customers and contributes positively to the overall work environment. 

Effective Coordination of Production, Shipping and Billing:

  • Coordinate production of orders with customer’s, customer service, sales, shipping and warehouse personnel.
  • Coordinate purchase of materials with the purchasing department based on material requirements and inventory to meet customer’s needs.
  • Coordinate shipment of customer orders with warehouse personnel and freight coordinator to ensure timely delivery.
  • Coordinate preparing and approving product specifications, takeoffs and material cut lists with sales, customer service and the customer. 
  • Coordinate the timely preparation and submittal of paperwork with accounting for invoicing within 24 hours of order shipping.
  • Coordinate material cut lists, material and delivery requirements, and other information required for customer service to properly enter sales orders.

Other Duties:

  • Compliance with proper safety and security procedures.
  • Operate credit card machine.
  • Answer incoming phone calls.
  • Contribute to a Safety-First Culture.
  • Manage resources efficiently and responsibly in the best interests of the company.

Qualifications Required:

  • Education: Associates degree or two years college coursework and/or equivalent work experience required.
  • Experience (years/type): Minimum of three year’s experience managing customer accounts or business operations in a manufacturing, production, or distribution operation.

Demonstrated Skills & Abilities:

  • Regular attendance. 
  • Ability to work cooperatively and efficiently with co-employees, managers, customers, and third parties.
  • Ability to handle stress and pressure while meeting business deadlines.
  • Ability to comply with applicable company work and safety rules, as well as government regulations.
  • Ability to handle a variety of different assignments efficiently, flexibly, and cooperatively.
  • Ability to exercise independent judgment and discretion in order to carry out account management responsibilities.
  • Excellent reading and math skills.
  • Effective communication skills to ensure proper coordination of production and customer order fulfillment responsibilities. 
  • Proficient with computer software programs such as Microsoft Outlook, Excel, Word. Experience with accounting software MAS 200 preferred.
