KSDT CPA is looking for a Scheduling Coordinator to handle our tax and assurance (audit) engagement scheduling process. The primary goal of the scheduling coordinator is to ensure that all chargeable staff are fully utilized. The Coordinator will track staffing utilization and provide statistical reporting for the firm’s partners and managers to maximize productivity. The Scheduling Coordinator works with Managers and Partners to develop six-month capacity forecasts and monitors all team members’ schedules using scheduling software, in order to meet client requirements and enhance utilization and efficiency.

Responsibilities:

  • Proactively implement six-month and annual schedules based on established budgets, client requests and deadlines, staff development program requirements, and PTO requests
  • Work with Tax and Assurance Managers to review schedules for the purpose of balancing workloads, managing capacity and troubleshooting issues to ensure maximum efficiency
  • Develop creative scheduling solutions for new engagements or when team member(s) leave
  • Track team member time to ensure time sheets are completed daily and that all chargeable staff are fully utilized
  • Check time sheets for unassigned time
  • Maintain strong working relationships and open communication with all levels regarding team member availability to ensure maximum team member utilization
  • Maintain vendor relationships with staffing software provider to gain access to new reports, request changes, communicate problems, and facilitate upgrades. Serve as main contact for all team members on the training and utilization of staffing software, including setting up all new team members in the system
  • Work with managers to facilitate scheduling requests and scheduling confirmations
  • Be flexible regarding changes to team member schedules due to miscellaneous circumstances
  • Prepare scheduling reports for firm meetings and attend training and recruiting planning meetings as the scheduling liaison. Update the schedule based on scheduling requests and feedback from these meetings
  • Prepare weekly reports for Manager and Partner review

Desired Credentials:

  • Bachelor's degree in Business Administration or Accounting preferred
  • Previous experience with staff, project or event scheduling preferred
  • A demonstrated ability to self-direct and effectively organize, prioritize and focus under deadlines.
  • Ability to problem-solve and think both creatively and logically.
  • Excellent analytical, organizational, written and verbal communication skills
  • Ability to multi-task and manage conflicting priorities in a fast-paced environment 
  • Strong technology skills, including MS Office Suite, are essential
  • Strong attention to detail and organizational skills
  • Experience working in a professional services firm is a plus
