Knox College is Hiring an Executive Assistant Near Galesburg, IL

Knox College invites applications for the full time, 12-month position of Executive Assistant to
the Vice President of Finance and Vice President of Administration. This full-time salaried
position assists both Vice Presidents in day-to-day administrative, clerical and confidential
matters.

Key Responsibilities

  • Provide administrative support to both the Vice President of Administration and Vice
    President of Finance, including managing calendars, scheduling meetings, compiling
    documents or other written material
  • Prioritize and manage workflow to ensure timely responses to inquiries from staff,
    faculty, employees and other stakeholders
  • Respond to inquiries from staff, faculty, students and visitors to the College.
  • Screen and process incoming correspondence
  • Develop a broad institutional knowledge to triage and route matters to appropriate
    individuals for action
  • Plan, develop, organize and implement methods and procedures for day-to-day office
    operations to create greater efficiency and produce records management
  • Assist in recordkeeping for human resources, financial, legal and risk management
    functions
  • Provide special assistance for other College and Department project/events

Qualifications

  • Bachelor's Degree preferred, but equivalent training and experience in a relevant
    field will be considered
  • Willingness to acquire a thorough knowledge of practices and
    procedure at Knox
  • Experience working with confidential and sensitive information
  • Exceptional oral and written communication, planning and interpersonal skills
  • Proficient in Microsoft Word and Excel
  • Excellent judgment and ability to work independently and collaboratively
  • Demonstrated cultural competence and effectiveness in serving the needs of a diverse
    community and appreciation for the residential liberal arts college experience
  • The successful candidate will have a strong desire to interact with students and a strong ability to assume
    initiative by identifying the required tasks and completing them with little supervision in an
    environment that requires responsiveness to the College community
