Job Description

Organizational Overview: Founded in 1998 by Leonard A. and Ronald S. Lauder, the Alzheimer's Drug Discovery Foundation (ADDF) is dedicated to rapidly accelerating the discovery of drugs to prevent, treat, and cure Alzheimer's disease. The ADDF is the only public charity solely focused on funding the development of drugs for Alzheimer's, employing a venture philanthropy model to support research in academia and the biotech industry. Through the generosity of its donors, the ADDF has awarded more than $209 million to fund over 650 Alzheimer's drug discovery and biomarker programs and clinical trials in 19 countries. Position Summary: The ADDF is seeking a Special Events Manager to join a team that executes a robust portfolio of fundraising and cultivation events annually. The ideal candidate will have 4-6 years’ experience and is highly motivated, organized, proactive, and detail-oriented, with an understanding of and interest in special event fundraising and stewardship programs. The person in this role will be an integral part of a dynamic and fast paced development team that plans and executes a range of special events in the Tri-State Area. 


Placement: This role reports to the Assistant Director of Special Events. This is a full-time exempt position. This individual will be expected to commute to our office in NYC as needed.


Key Responsibilities:
• Develop and manage event timelines
• Coordinate event mailings; oversee ticketing and guest lists
• Create detailed staffing plans and provide input for Run of Shows
• Ensure seamless execution of ADDF events by overseeing onsite event staff, volunteers, and venue set-up
• Leadership of smaller scale cultivation events
• Establish and maintain relationships with key event participants including donors, board members, committee members, and program participants
• Oversee creation of all event collateral
• Manage relationship with designer and printer and ensure event materials are created within budget, error free and on time.
• Create and distribute save-the-date and invitation e-blasts with Communications team and orchestrate production of event collateral including Save the Dates, Invitations, Journals and more
• Work with the Database Manager to ensure that all databases (mailing lists, Raiser’s Edge, etc.) are up-to-date and accurate
• Track and process event contributions and generate weekly revenue reports
• Other duties as assigned


Qualifications:
• 4-6 years of experience in event planning preferably in the nonprofit sector

• Detail-oriented, with strong organizational, analytical, and planning skills.

• Initiative and independence in carrying out responsibilities

• Excellent organization skills with an ability to prioritize and manage multiple tasks and a variety of demands

• Proven track record of planning and managing successful fundraising events

• Excellent verbal and written communications and interpersonal skills required

• Familiarity with New York City events industry

• Ability to exercise good judgment, be a high energy team member, and demonstrate initiative

• Knowledge of Raiser’s Edge a plus

• Ability to travel to event locations approximately 20% of the time
