JOB SUMMARYThe General Manager is primarily responsible for the day-to-day management of all aspects of operation of a Class A office building including supervision of the staff, in accordance with the goals and objectives of the individual property owners and the mission of Kidder Mathews Asset Services Division. A high level of professionalism and property management client relationship management is required. ESSENTIAL FUNCTIONSSupervision:Manage and lead employees of the Asset Services Team including recruiting support, onboarding, supervision, scheduling, training, development, evaluation, and disciplinary action of employeesProvide coaching, direction, and leadership to employee in order to achieve company and client resultsPromote and maintain a positive working environment in alignment with Kidder Mathews values and cultureProperty Operations:Responds to and resolves tenant concerns; meets with tenants as required to ensure that tenants needs are met, and that high quality property management service is achievedEnsure monthly physical site inspections are completed; partner with contractors/building engineers to follow through on any needed repairs or maintenanceInterface with site vendors and contractors to ensure prompt response to maintenance issuesEnsure on-going contracted vendor services are performed on schedule and on budget, ensuring services meet contract specificationsEnsure regulatory compliance and effective management of risk and liability for clientRequest/review/recommend bids for contracted servicesMonitor and enforce the terms of all lease agreements, the billing and payment of rents in compliance with the leasesOversee and approve the creation and maintenance of all site-specific documentation and initiatives including, but not limited to, client handbooks, client anniversary programs, and other client retention programs, training meeting for clients, site operations manuals and emergency procedures.Partner with Building Engineers or contracted maintenance vendors to schedule repairs and work ordersAct proactively to identify opportunities to add value to clients and client’s assets Financial and Reporting:Control the procurement, contracting, and expenditure processes per policies of the clientPartner with clients Accounting Team to ensure the client’s policies and procedures, are adhered to.Review and approve, within prescribed limits of authority, vendor and contractor invoicesProvide financial analysis for new leases and lease renewalsOversee the preparation of the annual budget and management plan, monthly financial reports, variance reports and CAM reconciliations for the clientHold final accountability for annual budgetsReview monthly operating statements as prepared by Property AccountantGenerate and/or review and finalize reports prior to delivering to the client. Adhere to the approved budget with primary responsibility for cash flow forecasts, reforecasts, and funding requestsLeasing:Meet with clients and negotiate lease renewals in accordance with Client’s specified lease perimeters, as appropriatePrepare financial analysis for new leases and lease renewals, as required by clientEncourage and promote cohesive and collaborative relationship with listing agent(s).Ensure all vacant space is in “market ready” condition based on individual client requirementsTake proactive approach to leasing and referral opportunitiesEnsure team is overseeing vendors and accountability measures are in place Tenant and client Relations:Maintain courteous, professional, service-oriented rapport with tenants and clientsPromote and foster confident, comfortable relationships with tenants and clientsOversee supervision of tenant move in and move out process and conduct move in and move out walk throughs with clientOversee new tenant orientationOversee tenant “welcome package” for new assignmentsEnsure processes and processes and procedures are in place for the following (not limited to): certificates of insurance tracking for clients and vendors, work order systems and tracking of preventative and proactive work orders, above standard bill back Tenant Improvement Construction:Attend construction meetingsPartner with Construction Manager and General Contractor to ensure schedules are met and improvements are performed in accordance with client requirements and building standardsConduct walk throughs, as needed, with Construction Manager and General Contractor and clients during construction processOversee all construction projects and delegate components of the projects, where possible, to ensure accurate and timely completionCorporate:Promote and foster courteous, professional, and collaborative relationships with co-workers and members of other Kidder Mathews divisionsAdminister Client Agreement, to include tracking renewal and expiration dates, fee increases, report and budget due dates, etc.Prepare annual corporate operating budgetReview and collect receivables from tenantsReview monthly operating statements for assigned clientsFull Profit & Loss accountability for assigned clientsTake proactive approach to identify and capture new business, referral, or consulting opportunitiesImplement strategic management plan for the asset including a major repositioningEnsure that all site operations are in compliance with established policies and procedures of client and Kidder Mathews, and are consistent with client’s overall objectives OTHER FUNCTIONSPerform other duties or projects as requested or required ESSENTIAL QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. This position is rarely active but may require standing, walking, bending, kneeling, stooping and crouching. The employee must frequently sit and use a computer for long periods of time. Specific vision abilities are required to do this job including close vision. The employee must be able to drive for short to moderate distances and/or times. The employee must sometimes lift and/or move items up to 10 pounds. The employee must often walk through the outdoors and various terrain environments.
