Overview

We are looking for an exceptionally bright, motivated Events Coordinator to join our team. The candidate in this role will collaboratively with colleagues in the department on a variety of internal projects and initiatives. The individual will report into Ketchum’s growing Marcom team. The ideal candidate thrives in a fast-paced environment and loves conceptualizing and executing events.

About the Job

Day to Day Responsibilities

  • Assist in the creation, planning and production for the agency’s inhouse events like Town Halls, Team Building et al and external events like PROVOKE, PR News and other industry events
  • Own event calendars and oversee coordination between various departments—account teams, marketing, creative and digital
  • Build and maintain strong relationships with colleagues, key suppliers, and internal networks
  • Actively participate in creative brainstorm sessions, supporting and encouraging colleagues
  • Own, manage and organize project trackers and event documents on the internal drives
  • Efficiently plan, organize, and support events and projects for your teams and/or clients.
  • Respond collaboratively to other teams/colleagues request for support and/or assistance

Event Support

  • Initial venue research in line with the event brief and budget including the initial date holds
  • Sourcing appropriate and innovative giveaways for wider client proposals
  • Attend events and manage event materials
  • Develop an understanding of the DG process for events
  • Maintain a roster of feedback documents post-event
  • Establish and maintain relationships with vendors and venues
  • Plan event logistics and aspects, such as seating, dining, and guests
  • Create reliable financial reports and support timely payment collection
  • Plan for potential scenarios that could impact the integrity of the event
  • Maintain a working knowledge of the complex needs of a wide variety of events

Teamwork and Leadership

  • Work cohesively and collaboratively with your team, coordinating administration, prioritizing workload and anticipating areas in need of assistance or improvement. Act quickly and decisively to deal with potential problems, seeking guidance when necessary. Demonstrate willingness to perform beyond assigned duties if requested.
  • Maintain regular, up-to-date communication with your team.
  • Work passionately, with a professional attitude, and always uphold the highest standards of accuracy and quality, even under pressure. Actively seek regular feedback to develop. Confidently and effectively plan and work with managers to manage own workload to ensure deadlines are met.

Business Development

  • Proactively research information of interest to existing clients, competitive pulse and general industry trends. Proactively communicate findings to the team.

Qualifications

  • Bachelor’s degree in Communications, Public Relations, Journalism, Digital Communications & Media, Marketing, Advertising, or a related field preferred
  • Excellent written and verbal communication skills
  • Is extremely organized and takes a creative approach to events from planning to execution
  • Relevant prior job experience in an organization or as a consultant
  • Proactive, flexible, willing to jump in where needed and able to handle multiple responsibilities simultaneously
  • Highly proficient in Microsoft Office and Outlook
  • Strong professional demeanor as this role requires working with senior level executives
