KCRW is Hiring an Office Manager Near Santa Monica, CA

What we needWe are in search of an Office Manager to organize and coordinate administration duties and office procedures. Your role will be vital to creating and maintaining a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.

Office manager duties and responsibilities include but are not limited to scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as a Front Office Manager or Office Administrator is a plus. A successful Office Manager will have experience with a variety of office software (google suite, email tools, spreadsheets, and databases) and be able to accurately handle administrative duties.

The Office manager will be a critical front-facing representative of our organization. They will be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.

This is a full-time, exempt position reporting to the Chief Operating Officer. This is an in-person position and will spend 5 days per week in our Santa Monica office.

KCRW has in effect a COVID-19 vaccine mandate for all employees beginning September 15, 2021. The mandate is subject to accommodation in compliance with applicable laws and regulations.

Responsibilities

  • Reception: manage all details of guest registration process, guest arrival and departure, and be the front-facing person responsible for staff and guest needs entering HQ or while on-site
  • Phones: Manage incoming calls, answer frequently asked questions, and direct calls to the correct staff person. Assign and manage organization’s phone extension assignments and updated phone list.
  • Assist COO with organization-wide projects including monthly KCRW Staff Meetings, all-staff lunches, and Performance Studio events.
  • Organize the office layout, maintain office condition, and arrange necessary repairs
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Address employee inquiries regarding office management issues (e.g. stationery, hardware, office maintenance)
  • Partner with HR update and maintain office policies as necessary
  • Prepare materials describing procedures and standards
  • Communicate changes in policies and procedures
  • Ensure adherence to policies and procedures by staff members
  • Manage filing systems, office supplies, and inventory of orders
  • Coordinate with IT department on all office equipment
  • Assist HR in the onboarding process for new hires
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Provide general support to visitors and oversee overall guest experience
  • Manage contract and price negotiations with office vendors, service providers, and office lease
  • Manage office G&A budget, verify accurate and timely reporting, ensure that all items are invoiced and paid on time
  • Other administrative and office tasks as assigned.
Skills & Experience
  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. photocopier and printers)
  • Familiarity with email scheduling tools, like Email Scheduler and Boomerang
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills 
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
