Kaufman Lynn Construction is Hiring a Project Executive Near Delray Beach, FL

Essentials Duties and Responsibilities:

  • Directly responsible and accountable for planning, directing, and coordinating all Project-related administrative and field activities through the Project Team or personally, as necessary, to complete all assigned Projects on time and within budget parameters, and in accordance with our clients’ specific needs and concerns.
  • Communicates openly and honestly; works diligently toward building long-lasting, non-adversarial, relationships with all internal and external customers.
  • In addition, he or she consistently works toward developing a spirit of cooperation and mutual respect with all Project stakeholders, by adhering Company’s Mission Statement and Guiding Principles.

Administrative

  • Provides guidance in the development of Project planning, including personnel requirements, material needs, subcontract requirements, facility and equipment needs
  • Ensures all established costs, quality and delivery commitments are met
  • Performs administrative activities associated with the effective management of Operations, including compiling, storing, and retrieving data for reports.
  • Determines responsibilities of assigned Company and staff positions to accomplish business and Project objectives.
  • Trains and ensures all assigned employees are aware of and comply with Company, government, and customer policies, procedures and regulations.
  • Coordinates all activities with all other functions and departments of the Company to obtain optimum production and utilization of human resources and equipment.
  • Reviews operating reports and directs resolution of operational and Project problems to ensure minimum costs and project delays.
  • Assists in recruiting and retaining capable personnel.
  • Assists in development of and promotes Company Strategic Plans, Specific Goals, and Action Plans.

Operations

  • Assists in the PreConstruction phase of assigned projects; i.e., develops budget estimates, assists in Project set-up in Procore, conducts site investigations, coordinates in-house meetings, develops project schedules, prepares Subcontractor/Vendor purchasing schedules, submits plans for permitting, attends PreConstruction meetings with stakeholders, develops Owner contracts, reviews permitted Construction Documents; advises Project Team of changes and effect on Project budget.
  • Tracks and reviews all significant information in Procore; i.e., Meeting Minutes, Document
    Transmittals, Drawing Logs, Submittal/Shop Drawing Logs, Request for Information Logs, Potential Change Order Logs, etc.
  • Reviews Submittal/Shop Drawings process for action by the Architect/Engineer. Ensures distribution to the appropriate Subcontractor or Vendor.
  • Performs jobsite inspections frequently enough to ensure fulfillment of various Company standards; i.e.,safety, quality, progress, compliance with Contract Documents, regulatory inspections, quality control testing, etc.
  • Reviews or prepares Schedule of Values and cash flow projections for approval by the Owner and/or Architect, and on a monthly basis prepares Application for Payment.
  • Ensures funds are received in accordance with the Contract.
  • Reviews and approves Subcontractor, Vendor or other invoices for prompt processing and payment.
  • Ensures Project Schedule is updated regularly, documenting status of delays by category; i.e., field, delivery, manpower, strikes, acts of God, etc. Coordinates delivery of materials and Subcontractors to ensure compliance with the Project Schedule.
  • Reviews or assists in the preparation of Owner Change Order/Change Directive Proposals for review and action.
  • Ensures the maintenance of logs, writes Change Orders to Owner, Subcontractors, and Vendors as required.
  • Ensures maintenance of complete, up-to-date, set of Contract Documents for office and field use.
  • Reviews and ensures maintenance of various essential monthly reports, logs, and schedules; i.e., Bid Packages Log, Project Schedule, Subcontractor Status Report Contract and Change Order Log, Potential Change Order Log, and Cost Transaction Report for the purpose of preparing an accurate and up-to-date Cost Projection Worksheet.
  • Reviews the Cost Projection Worksheet projecting the final anticipated cost for all budget line items, reviews all budget line items with the Project Team and establishes a means of managing cost overruns or savings.
  • Reviews or establishes Agenda with Superintendent for regular Subcontractor progress meetings and monitors meetings to ensure that meetings are productive and address the issues of the Project.
  • Reviews or establishes Agenda and conducts Project Team meetings with Owner Representatives, Architects, Engineers, Project Manager, Superintendent, and stakeholders to ensure communication, distribution of project reports/logs, discussion of current issues, and recognition of potential problems and delays.
  • Ensures final inspections and procurement of Certificate of Occupancy. Conducts walk through with Owner and/or Architect and prepares final punchlist with the Certificate of Substantial Completion.
  • Establishes a date for the final Project walk through and final acceptance by the Owner and/or Architect.
  • Ensures preparation of all final close out documents and forwards to Owner; i.e., Certificate of Occupancy, as-built drawings, operation & maintenance manuals, training sessions, warranties final releases, etc.
  • Continues the pursuit of professional development through course work, seminars and continuing education to increase effectiveness at the current level and to enhance the skills and knowledge needed for career advancement and increased responsibility.
Financial Accountabilities
  • Directly accountable for Company and Project specific financial planning to enable accurate projection of cost and profitability. Makes long-term financial decisions based on Company, Project specific financial and strategic plans, morals, ethics, and rational accountability, to promote the long-term value, growth, and financial welfare of Company.
Individual Interface
  • Interfaces with internal and external stakeholders of the Project and Company. Acts professionally, uses good judgment and diplomacy at all times. Projects an awareness of all current activity of the Project and a willingness to assist whenever possible.

Managerial Responsibilities

  • Leads and guides other Project Team members; i.e., Project Managers, Superintendents, Project Engineers, Project Administrators, etc. Plans and coordinates the staffing requirements for the project with the Project Team, which are usually determined by the project size and complexity. Works with the Project Team as necessary to ensure a balanced Management approach for the Project.
Decision Making
  • Interprets an extensive variety of business and technical data in written, mathematical or diagrammatic form and deals with abstract and/or concrete variables. Defines problems, collects data, establishes facts, and draws preliminary conclusions with final decisions having regular input of the Senior Vice President, Operations.

Education/Experience
  • Bachelor’s Degree (B.A.) from four-year College or university; ten years related experience and/or training; or equivalent combination of education and experience.
  • Good command of oral and written English language skills and the capability to write routine reports and correspondence.
  • Ability to read and interpret various construction and business-related documents; i.e., Blueprints, Bid Comparisons, Shop Drawings, Shop Drawing Logs, Owner and Subcontractor Contracts and Change Orders, Invoices, Requisitions, Safety Rules, Operating and Maintenance Instructions, Project Administration Manuals, strategic business plans, and business reports.

Certificates, Licenses, Registrations

  • Valid State of Florida driver’s license. Current CPR, First Aid and OSHA 10 Hour Certification.
    Physical Demands
  • Capacity to visit Project work sites in various stages of completion; traversing over construction type terrain when under development; moving through the construction site and the materials in place for use on the site; climbing ladders and temporary stairways; conduct visual inspections for quality of construction and materials being used in construction.
