Description

Job Title/Department: Part-Time Accounting Assistant (20 hours per week)

Employee Classification: Non-Exempt / Part-Time 

Location: Lyndhurst, Ohio

Summary

Julie Billiart Schools is a network of schools serving children grades K-8 with special learning challenges. Currently we have campuses in Akron, Lyndhurst and Westlake that offer unique learning environments for students with autism, ADD/ADHD, dyslexia, specific learning deficiencies and social learning challenges. We are Catholic, non-public schools that welcome diverse faith traditions.

Job Purpose

The Accounting Assistant is responsible for payroll and accounting tasks that supports the accounting department at Julie Billiart Schools.

Duties and Responsibilities

The following is a list of primary duties and responsibilities. Other duties to be assigned as needed. Supervision Received

Reports to and is evaluated by the CFO. 

Accounting

Accounts Payable

  • Audit incoming invoices and other payment requests for appropriate coding and authorizations.
  • Enter purchasing payables into accounting system for payment processing
  • Review petty cash replenishment requests for accuracy and completeness. 
  • Handle vendor communications, resolving any billing disputes.
  • Maintain vendor files, including contracts for services.
  • Provide sales tax exemption forms to vendors.
  • Obtain W-9 forms form vendors.
  • Assist with preparation of annual 1099s.

Credit Cards

  • Review credit card statements for proper coding.
  • Maintain support for credit card transactions following up with card users to ensure that documentation is received for each transaction.

Beyond Camp

  • Responsible for tracking enrollment to ensure that all participants are invoiced correctly.
  • Manage funding from outside sources to ensure that scholarship funding, county funding, etc. is appropriately applied to accounts.
  • Ensure that receivables are collected prior to the start of camp.

Payroll

  • Payroll Processing
  • Maintain employee records
  • Process bi-weekly payroll and special payrolls, as required
  • Process 401K remittance
  • Assist employees with all issues related to payroll
  • Ensure that employee benefit deductions are processed correctly 

Performs other tasks and duties and assumes other responsibilities as may be assigned by the CFO. 

Requirements

Education, Experience and Qualifications

Required:

  • High school diploma.
  • Associate or Bachelor’s degree in business –related field from an accredited institution is a plus.

Experience

Required:

  • Minimum of 1-3 years of experience in accounting and payroll
  • Current knowledge of Microsoft Office applications.
  • Experience with payroll processing software.
  • Experience with accounting software.

Working Conditions

The work of this class is generally sedentary and performed in an office environment. Requires the use of computers and other office equipment.
