Hourly Rate: $25.19, Annual Rate: $52,402.48 Effective as of: 08-16-2022


**Annual salary noted above is based on an 8 hour day and full days worked calendar. Any position that is less than a full FTE/8 hours per day or late start will be prorated accordingly.

PRE-EMPLOYMENT REQUIREMENT

The successful new hire or rehired candidate will be responsible to complete and incur the fingerprinting and processing fee of $54.50 through an appropriate fingerprinting vendor and the Colorado Bureau of Investigation, within 48 hours of offer acceptance.

RESPONSIBILITIES

SUMMARY: Provide lead role in early childhood office with expertise in Cash Income, Campus and Jeffco Connect. Provide training to staff members in preschool regarding system updates and changes. Help district staff with testing and training for upgrades and provide feedback to technical staff on testing results. Perform secretarial duties including budget reports, posting employee time, producing documents and processing orders. Communicates and problem solves with all preschool personnel, District departments, parents and community agencies that provide support to children and families. Supervise preschool clerical staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Monitor quality of work of clerical staff and provide training as needed. Problemsolve PeopleSoft, Cash Income, Campus, Jeffco Connect issues and provide user support.
Develop, plan, and provide on-site and group training for preschool directors/staff on accounting policies, enrollment policies, practices and procedures.
Create and maintain website for preschool staff.
Create courses in ESS for professional development trainings provided throughout the year. This includes manage enrollment and clock hour reports for all preschool staff.
Create and maintain 114 fee schedules annually in Cash Income. Generate fees for 2700 preschool students annually.
Set-up and maintain course sections and district assignments in Campus for all preschool locations. Approve Vouchers and requisitions.
Complete payroll, time entry, and substitute verification in Time & Labor.
Assist staff with Smartfind Express substitute system, including troubleshooting, setting up absences and staff set-up.
Review p-card logs for 60 staff members and submit for approval. Prepare for district p-card audit.
Prepare and follow district policies on archiving.
Publish and distribute monthly newsletter to staff.
Act as the financial technician for PCHP Grant. Oversee budget, ordering, and p-card reconciliation for all staff. Set up and change system access for new and re-located staff.
Keep accurate records of income and expenses for preschool budget. Reconcile financial reports, audits individual preschool sites records including inventory.
Implement and oversee Board policies and District procedures for accounting, payroll and human resources as they relate to preschool employees.
Communicate, analyze and problem solve with preschool Directors and central staff regarding program operations. Maintain organized preschool administrative office and supervise clerical staff.
Collaborate with human resources, payroll and accounting departments regarding personnel and budget policies and procedures.
Supervise student data input into Infinite Campus, Jeffco Connect, and finalize data for Campus and October count.
Inform parents and public agencies about preschool locations, fees, Colorado Preschool Program, and eligibility requirements.
Train and supervise other office technicians and Preschool Directors on financial operations.
Other duties as assigned.

EDUCATION AND TRAINING: High school diploma/GED required, plus post-secondary courses in business or vocational school, equivalent to up to one year of college. Experience with People Soft, Cash Income, Infinite Campus and Jeffco Connect preferred.
EXPERIENCE: 3 years' experience in a specialized operational process, field, or program as it relates to this position.
SKILLS, KNOWLEDGE, & EQUIPMENT: Requires oral communication, basic writing, interpersonal, phone etiquette, and advanced computer skills. Operating knowledge of and experience with computers, office software, and general office equipment. Requires moderate level of training in area of specialty. May be required to take a skills assessment test as part of the application process.
CERTIFICATES, LICENSES, & REGISTRATIONS: None required.
SUPERVISION/TECHNICAL RESPONSIBILITY: Directly supervises Preschool clerical staff and may lead the work of and/or assist with evaluating other technicians and/or clerks. This position serves as a technical resource on a specific functional area such as curriculum, technology, or a business application. This position is recognized as a District resource in a broad specialty area, operational process, field, or program.
CONTACTS: Daily contact with persons within/outside department/building, students, parents, vendors/suppliers, general public, applicants, and/or District advisory committees to resolve problems and maintain harmonious relationships. Contacts are regarding routine matters and somewhat sensitive matters involving problems and confidential information or data.
SAFETY TO SELF AND OTHERS: Medium or high exposure to self to repetitive motion injuries due to key boarding. Low exposure to self to cuts and bruises due to typical office accidents.
