Accounts Receivable/Payable

Objective: The Accounts Receivable Specialist is responsible for the day-to-day bookkeeping duties and accounting procedures of all company units, as directed by the Business Manager. Duties will include, Accounts Receivable, Inventory, Billing, and other Miscellaneous Administrative duties. The Accounting Receivable Specialist has daily contact with customers, employees, managers and executives.

The Accounts Receivable Specialist is responsible for ensuring excellent accounting/bookkeeping, customer service, and a positive team-oriented working environment. Following Company approved protocols to process all assigned work orders, billing, posting checks, reconcile accounts, and required accounting documents for each business unit. Your job duties allow you access to privileged information and it is expected that this information will be kept in strict confidence.

• Maintain a well-groomed professional appearance and adhere to the “Do the Right Thing” standards and codes.
• Understand completely and operate in accordance with Company policy and procedures at all times.
• Knowledge, experience, and expert proficiency with QuickBooks Pro, Excel, Word, Outlook, and basic office equipment.
• Bi-lingual Spanish is a plus.

KEY DUTIES AND RESPONSIBILITIES

BILLING AND ACCOUNTS RECEIVABLE:

• Make certain that all recurring monthly billing is accurate and billed by the deadline of each month.
• Make certain that all add-on billing for projects are accurate and billed weekly.
• Make certain that all consumables billing is accurate and completed twice monthly are to customer specifications.
• Track Accounts Receivable weekly and follow collections protocol according to company standards.
• Hold weekly collections meetings with Managers and get assistance with client collections as needed.
• Calculate monthly the average day of collections to no more than 25 days.
• Help create procedures with all teams which promote accuracy and timeliness of all Billing and A/R.

CONSUMABLES SALES/INVENTORY:

• Make certain consumables sales, inventory, billing is accurate and timely. Follow company protocol.
• Make daily orders as needed by the deadlines.
• Help coordinate efficient order requests from supervisors and janitors.

QUALIFICATIONS AND REQUIREMENTS:

• 3 - 5 years Accounting experience.
• Knowledge of QuickBooks Pro, and familiar with windows and office XP software.
• Must possess excellent written, verbal, and people skills.

SCHEDULE:

• Monday through Friday
• In-office position (not-remote)

Reports to: Business Administration Manager

Remuneration: Hourly - $20.00 to $25.00 (DOE)
