J Taylor & Associates LLC is Hiring an Administrative Support Near Fort Worth, TX

Description

Summary:

Essential Functions

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 

  • Be responsible for purchasing, maintaining inventory, and stocking all breakrooms
  • Run firm errands bi-weekly or as needed using personal vehicle (reimbursable mileage)
  • Receiving visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately as backup receptionist
  • Answering, screening, and forwarding incoming phone calls
  • Ensure reception area and conference rooms are tidy and presentable
  • Coordinate firm activities for staff involvement
  • Serve as point of contact for firm outreach activities
  • Serve as mentor/trainer for on-site High School Work Study Program
  • Work with Microsoft Office on firm projects (Excel, Word, Publisher, PowerPoint)
  • Provide basic and accurate information in-person and via phone/email
  • Update calendars and schedule meetings as needed
  • Perform other clerical duties as needed
  • Participate in firm and departmental initiatives 
  • Regular and timely attendance

Requirements

  • Intuition - Demonstrates the ability to provide quick and ready insight, leverages previous experience and education to answer questions
  • Initiative - Is a self-starter, actively looks for additional work, can function independently as appropriate
  • Self-Awareness - Mindful of their own strengths and weaknesses and how to best utilize these in a team environment

Supervisory Responsibilities:

This position has no supervisory responsibilities.

Required Qualifications:

  • High school diploma or equivalent
  • Comfortable learning and working within new computer software to increase knowledge base over time
  • Current and valid driver’s license
  • Ability to establish priorities and perform work in a timely manner
  • Effective oral and written communication skills
  • Proficient in Microsoft Office products (Word, Excel, Outlook)
  • Ability to work in a team-oriented environment

Preferred Qualifications:

  • Two- or four-year Business-related degree
  • Knowledge of QuickBooks and Practice Management
  • Experience in professional services or similar environment

Work Environment:

  • This job operates in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
  • Additional hours as needed to meet deadlines.

Position Type:

  • This is a full-time position. Our standard business hours are 8:00 a.m. to 5:00 p.m. Overtime and weekend hours will be required during peak busy seasons.

Travel:

  • Travel may be required on occasion. Same-day travel for work, meetings, and seminars which requires use of a personal vehicle.
