Job Summary: Project Administrator

This position works in a team environment, in person and virtual, to provide project administrative support to Project Managers, Project Principals, Regional Managers, and the Design Team. Project administration includes project set-up and assistance with proposals, coordinating project meetings, assistance with agency submittals and approvals, editing and formatting documents and reports, and assist with construction administration support activities. Candidates should be well organized, thoughtful, detail, and service-oriented. In addition, candidates should be able to take ownership of tasks and exhibit a high level of initiative and follow-through in a dynamic environment.

Project Administrative Support:

  • Set up the proposal and work folders on our cloud-based applications.
  • Assist Project Managers with project proposals including coordination with client/prime, sub-consultants, assembly of proposal components, and distribution of executed contracts and agreements.
  • Coordinate in-house and client meetings, including taking meeting notes and set-up of meeting invitations with participants.
  • Assist in assembly, distribution, submittal, and monitoring of agency approval packages.
  • Work with Project Managers to organize, edit, format, and produce change orders, draft and final reports, and technical documents.
  • Managing daily communications with internal and external parties.
  • Assist project teams with logging and tracking project RFIs, submittals, and administrative documents as required during Construction Administration and Project Closeout.
  • Assist with preparing presentation materials for project meetings.

Technical Skills:

  • Demonstrate proficiency in applications and multimedia software including Bluebeam, Photoshop, Illustrator, Microsoft Office 365, PowerPoint, and Microsoft Project.
  • Understand the process of providing architectural and structural design services.
  • General knowledge of the design interface with the construction industry.
  • Develop an understanding of the JRMA market sectors.

Qualifications

  • Bachelor’s degree or equivalent, preferably in a business, administration communication, technical, or other related fields.
  • Knowledge of the design and/or construction industry.
  • A minimum of three years or more of professional administrative experience.
  • Excellent organization, verbal, and written communication skills.
  • Working knowledge of software including Bluebeam, Microsoft Office 365, and PowerPoint. Knowledge of Photoshop, Illustrator, and Mircosoft Project is preferred but not required.
  • Self-motivated and team-oriented individual with the ability to drive results.
  • Ability to prioritize and meet deadlines while producing quality work.
