J. Knipper and Company, Inc. is Hiring a HR Administrative Assistant Near Lakewood, NJ

Overview

Support Human Resources Department with various administrative responsibilities related to the acquisition of, and development of our contributors (employees). Handle sensitive and confidential information with tact and diplomacy. Project work will include the need for strong computer skills. Provide exceptional customer experience and follow proper protocol, including inspection of identification, for all visitors at our front desk and while answering and directing phone calls.

Responsibilities

Human Resources:

  • Maintain list of temporary workforce resources; place job orders with temporary agencies.
  • Utilize Applicant Tracking System (ATS) to review resumes and coordinate and schedule phone, video and onsite interviews and book conference rooms. Communicate with candidates and send confirmation emails.
  • Assist new employees in the Onboarding process by ensuring document and task completion to effectively & efficiently complete the hiring process.
  • Launch various tasks through ATS; communicate instructions and troubleshoot with new hires, including completion of electronic I-9s and E-Verify.
  • Data entry of information into various systems ensuring accuracy of data, management of data and running reports
  • Oversee the collection of required documents and organize them for easy retrieval
  • Manage poster vendor for compliance.
  • Perform other administrative responsibilities, as needed.

Receptionist:

  • Welcome guests and contributors and ensure proper protocol is followed for various guests, including manage visitors’ log, create visitor badges, distribute guest WIFI passwords and adhere to any safety and security protocol in place. Post client visits on the corporate calendar and send notifications.
  • Ensure exceptional customer experience while assisting with phone calls and directing callers to destination.
  • Oversee reception area by maintaining professional appearance and closing area at the end of the day.
  • Sort and distribute all mail and order Executive, Client and Department lunches

The above duties are meant to be representative of the position and not all-inclusive.

Qualifications

Education/Training: High School Diploma. Associates or Bachelor’s degree in HR or related. preferred.

Business Experience: One to two years of receptionist or administrative experience or equivalent combination of education or experience..

KNOWLEDGE, SKILLS & ABILITIES:

  • Professional appearance, good judgment, trustworthiness, and discretion in handling confidential information.
  • Basic to intermediate level knowledge of Microsoft Office Products – Outlook, Excel and Word.
  • Knowledge of iCIMS helpful but not required
  • Demonstrated written and verbal communication skills.
  • Customer service orientation is required; dependable.
  • Strong sense of tact and diplomacy; and good interpersonal skills.
  • Must be a team player and work well with others.
  • Basic Math Skills.
