Currently, we are seeking a Contract Administrator to join our Legal group! The Contracts Administrator will work with Project Managers and group Admins to prepare, execute, and monitor contracts received from our clients/customers to ensure they executed properly and timely. This position is responsible for ensuring our standard subcontracts are modified to accommodate requirements from our customers’ contracts, verify that subcontractor insurance certificates are correct and inputted into software system, as well as assisting with change orders, purchase orders, and subcontract requests.

In this role you will:

  • Manage the in-house contract review and approval process.
  • Obtain bonds and certificates of insurance (COI’s) from
  • service providers to forward to customers with approved contracts.
  • Monitor process to ensure customers return fully executed contracts to us.
  • Execute miscellaneous contract exhibit forms, documents, and certificates.
  • Review and help process lien waivers.
  • Assist Accounting in compliance management and help follow up on the return of Insurance certificates, Purchase Orders, Subcontracts and change orders.
  • Perform job closing activities as needed for Accounting Dept.
  • Provide and issue insurance certificates to Clients
  • Maintain detailed and organized files.
  • Ensure customers return fully executed contracts.
  • Ensure all documentation is saved in the system and updated
  • Process warranties/guarantees.
  • Assist Deputy General Counsel with the review of customer contracts.
  • Work with Accounts Receivable to draft and submit demand letters and complaints.
  • Draft and mail out responses to Letters of Intents we receive.
  • Perform other related duties as necessary or assigned.

A successful candidate will have:

  • Bachelor's Degree or equivalent experience in a related field.
  • Demonstrates organizational skills.
  • Demonstrates an attention to detail.
  • Demonstrates and ability to manage shifting priorities.
  • Demonstrates written and verbal communication skills
  • Excellent computer skills.
  • Demonstrated supervisory and people skills.
  • Ability to work independently and maintain work flow processes.
  • Construction contract experience preferred.

Physical Requirements

Sedentary Work – Exerting up to 10 pounds of force occasionally (Occasionally: activity or condition exists up to 1/3 of the time) and/or a negligible amount of force frequently (Frequently: activity or condition exists from 1/3 to 2/3 of the time) to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
