JOB SUMMARY

The HR Associate supports developing, implementing, and monitoring business-wide policies and procedures, systems, and initiatives that support the Institute of Noetic Science’s (“IONS”) strategic direction. This is a 50% FTE remote position requiring both HR and multi-state payroll technical expertise, reporting to the Director of Operations. 

KEY RESPONSIBILITIES 

  • Serve as an HR concierge to ensure a VIP employee experience.
  • Support pre-hire, onboarding, HR Helpdesk, and other employee lifecycle processes.
  • Become a company expert on HR systems (Paylocity and Ease Central). Train employees and address questions and employee issues.
  • Maintain compliance with federal, state, and local employment and benefits laws and regulations. Works with Operations and Finance team for compliance reporting – ACA, EEO, multi-state payroll taxes, Workers Comp, Unemployment, and others as needed.
  • Maintain and evolve payroll/HRIS system (Paylocity).
  • Benefits administration – assist employees with enrollment in partnership with our Benefits provider (Filice), help employees understand benefits, help to resolve problems, etc. Assist with the annual open enrollment process. Roll out new benefits as applicable.
  • Work with HR/Operations Director to develop, present, and continuously improve our new hire orientation and onboarding programs.
  • Work with managers, HR, and Operations Leadership to support recruiting efforts as needed.
  • Support the HR department in implementing programs to help improve our employee experience.
  • Be a resource to teammates and managers on company policies, practices, systems, and regulations.
  • Inform managers about any delays and difficulties as soon as possible, propose alternative solutions, and seek guidance on the best course of action.
  • Determine realistic timelines for completing a given task or project.
  • When there are ambiguous tasks or assignments, clarify definitions and specifications.

Requirements

QUALIFICATIONS

  • Knowledge and experience in the administration and support of HR benefits, payroll taxes, technology, compliance, and leaves of absence.
  • Exceptional professional integrity with an unbreakable commitment to confidentiality & discretion while managing sensitive employee and organizational information. 
  • Exceptional interpersonal skills; able to communicate effectively with all levels in the organization using empathy, tact, and professional courtesy. 
  • Responsible, pragmatic, self-driven, and has sound judgment and time-management skills with the ability to execute simple to complex task assignments independently. 
  • Bachelor’s degree required
  • 3 years of Human Resources and Payroll experience required
  • Certifications in Human Resources Management and Payroll are preferred
  • Experience using Paylocity is preferred.
